Program Coordinator

Location: North Orange Continuing Education – NOCE-AC Career Technical Education

Percentage of Employment: 100% | Months of Employment: 12 months per year

Work Schedule: Monday–Friday, 8:30 AM – 5:30 PM (schedule and shift are subject to change in accordance with department needs)

This position is grant funded and exists based on the availability of funds.

About the Role

Serves as the lead for the institution in the strategic fiscal and operational coordination of a District or campus program or service program(s). Provides direction and coordination in the implementation of the goals, objectives, policies, and procedures of the assigned program(s).

Responsibilities

  • Provide technical information and expertise to students, instructors, staff, and external partners regarding program(s) and services.
  • Collaborate with students, community partners, faculty, and staff to implement organizational objectives and student programs.
  • Lead independent grant development in area of responsibility, including:
    • Research of available grants in area of assignment
    • Grant text, budget projections, and staffing matrices
    • Submission requirements, program design, and other grant deadlines
  • Coordinate the design, implementation, and facilitation of Student Learning Outcomes (SLOs), Student Support Services Quality Review (SSSQR), Student Services Master Plan (SSMP), accreditation, program review, and/or other reports as assigned.
  • Organize, participate in, and chair general meetings, committee meetings, and special projects as assigned.
  • Coordinate programs and services related to area of assignment.
  • Develop and coordinate informational materials, presentations, and workshops regarding programs and services; create promotional materials for distribution; coordinate and participate in outreach activities to promote educational awareness, opportunities, and services.
  • Research and implement current and trending educational development theories, legal requirements, labor market statistics, outreach-marketing, and best practices to serve diverse program needs.
  • Ensure compliance with campus, district, state, and federal objectives and regulatory requirements, including program-related mandates.
  • Coordinate use of facilities with faculty, staff, and students; maintain the safety and functionality of assigned areas of responsibility.
  • Schedule and conduct meetings with faculty and staff for program evaluations and improvement.
  • Perform administrative duties related to the maintenance and efficiency of the assigned program(s), including:
    • Drafting and implementing various forms, letters, and correspondence
    • Maintaining student attendance records and confidential student information
    • Compiling statistical data
  • Prepare the annual program(s) budget; monitor expenditures, initiate and develop grant one-time funding requests; prepare fiscal reports as directed.
  • Order, maintain, receive, catalog, and store equipment, materials, and supplies; maintain inventories to ensure adequate quantities for timely instructional use.
  • Compile and maintain a variety of records, logs, files, and statistical reports related to program activities; prepare and maintain records related to students and program activities.
  • Develop and prepare materials for faculty and student use.
  • Train and provide work direction and guidance to others as directed; coordinate professional development for new and continuing employees.
  • Learn and apply emerging technologies and advances to perform duties efficiently and in a timely manner.
  • Participate in District/College efforts to increase diversity of faculty and staff and address student achievement gaps; assist in creating a welcoming and inclusive work and educational environment; attend diversity, equity, and inclusion trainings and events.
  • Perform related duties as assigned.

Requirements

  • Bachelor’s degree from a regionally accredited college/university
  • Four (4) years of training or work experience directly related to the position
  • Three (3) years of increasingly responsible professional experience within an environment with high emphasis on customer service and program coordination, preferably in an educational setting
  • Demonstrated sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender, gender identity, sexual orientation, and ethnic backgrounds of community college students, faculty, and staff

  • Experience working in Career Technical Education (CTE) programs
  • Knowledge of the California Community College system, including noncredit education, enrollment management, and student support services
  • Knowledge of the unique needs of special populations, including strategies to improve equitable access, participation, completion, and employment outcomes for diverse student populations
  • Experience collaborating with faculty, administrators, employers, community organizations, and external partners to achieve program goals
  • Excellent organizational, communication, and relationship-building skills, with the ability to work collaboratively across departments while exercising sound judgment and independent decision-making
  • Demonstrated ability to execute complex projects and implement practical solutions in a fast-paced environment
  • A proficient problem-solving approach to quickly assess questions and issues and provide technical assistance
  • Experience collaborating with faculty, staff, and/or community leaders in programs and initiatives designed to assist historically underrepresented students achieve their educational goals

Pay

Salary Range: $6,913 – $8,346 per month
