Your Responsibilities as a Program Coordinator
- Cook up daily workflows, calendars, meetings, and follow-ups for the account team and client security operations leadership
- Track action items, deliverables, and initiatives so nothing slips
- Maintain organized documentation, shared drives, trackers, and records
- Support staffing coordination, scheduling, and logistics
- Build and maintain trackers for staffing, vendor deliverables, incidents, action items, and readiness activities
- Produce regular reports, memos, and executive-ready summaries for leadership visibility
- Own workflows and timelines in a quasi-PM capacity: keep initiatives moving, flag risks, and drive follow-through
- Support invoice coordination, billing, and data organization
- Cook up between the account team, vendor account managers, client security leadership, and internal partners
- Support vendor onboarding, document collection, compliance tracking, and follow-up
- Keep consistency across sites and partners
- Draft professional communications, summaries, meeting notes, and follow-ups
- Prepare presentations, trackers, and spreadsheets
- Handle sensitive information with discretion
- Support launches, transitions, onboarding, and special projects as the account scales
- Flag workflow inefficiencies and build better standards
- Keep priorities, communication, and processes aligned across teams
Your Qualifications
- A strong working knowledge of Google Workspace (Docs, Sheets, Slides)
- A blend of administrative/executive coordination, reporting and analysis, and light project management; you can run all three
- Experience building workflows and trackers and producing clear reports, memos, and executive-ready materials
- Strong organization, follow-through, and ownership across multiple priorities at once
- Excellent written and verbal communication, with discretion around sensitive information
- Experience with WinTeam and Workday, or the ability to learn them quickly
