Program Coordinator

Key Responsibilities

  • Class Coordination: Coordinating the new cohort process, leading end-of-class follow-up activities, supporting instructor wrap-up needs, assisting with student communications, and ensuring program closeout tasks are completed accurately and on time.
  • Classroom, Materials And Instructional Readiness: Ensuring classrooms, supplies, materials, and technology are prepared and available to support instruction, exams, and program activities.
  • Exam Coordination And Proctoring: Coordinating exam scheduling, proctoring logistics, and required documentation, ensuring certification exams are scheduled appropriately, rooms are prepared, materials are secured, and proctoring requirements are met.
  • Program Events And Logistics: Supporting program-related events by coordinating with internal teams, instructors, vendors, and community partners; managing donations, food, tickets, transportation, and materials; and ensuring events are organized, welcoming, and aligned with BCAT’s standards for professionalism and hospitality.
  • Grant Management: Providing administrative grants support, managing the organization’s grant calendar, tracking upcoming grant & report deadlines, gathering grants attachments, and creating grant onboarding documents.

Skills and Qualifications

  • Associate’s degree or Bachelor’s degree preferred
  • Experience in program coordination, operations, administration, or education support
  • Strong organizational skills with the ability to effectively coordinate multiple schedules and priorities under time constraints
  • High attention to detail and follow-through
  • Excellent skill in Google Workspace, Microsoft Office tools, and CRM/databases
  • Strong communication skills and a professional, service-oriented demeanor
  • Ability to coordinate logistics, purchasing, and vendor relationships
  • Flexibility to support occasional events or activities outside standard office hours
  • Knowledge of nonprofit grants processes is a plus
  • Ability to maintain a high level of integrity and discretion in handling confidential information
  • Comfort working in a fast-paced and dynamic environment
  • Ability to collaborate effectively with instructors, students, and cross-functional teams
  • Knowledge of classroom readiness and exam coordination
