About the role

The Kellogg School of Management at Northwestern University supports a global network of over 72,000 alumni. The Alumni Relations Analytics team provides critical operational support to the Alumni Relations and Advancement teams, facilitating connections, events, data management, and communications.

This is a hybrid work environment with required in-office days each week; hours may vary based on department needs.

Responsibilities

  • Administration
    • Manage day-to-day data reporting needs; compile and enter data into databases and systems.
    • Coordinate team meetings, including scheduling, logistics, room reservations, and technology setup.
    • Process checks and prepare the daily gift log.
    • Process new account creation for new gifts received.
  • Communication, Outreach & Recruitment
    • Use coordinated, consistent marketing and brand messages in all communications.
    • Assist with writing and proofreading of communications.
    • Participate in annual giving end-of-calendar and end-of-fiscal-year calling programs for outreach efforts.
    • Build and nurture relationships with the annual giving, operations, and alumni relations teams through effective communication.
  • Events
    • Coordinate logistics for alumni relations and annual giving programming, including collateral creation, briefings, and attendee bios.
    • Assist with contract negotiations as needed.
    • Track RSVPs and provide attendance updates to stakeholders.
    • Develop event plans, including Cvent registration, invitation creation, and follow-up.
  • Miscellaneous
    • Perform other duties as assigned.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • 1 year of program/project administration or other relevant experience.

Skills

  • Strong knowledge of Microsoft Office Suite; familiarity with CATtracks and Tableau.
  • Ability to learn new software programs, including Northwestern-specific systems, and troubleshoot technology.
  • Experience managing team meetings, including invites, agendas, room reservations, and technology setup.
  • Flexibility and ability to prioritize tasks and manage time effectively.
  • Detail-oriented with excellent writing and verbal communication skills.
  • Ability to manage multiple projects simultaneously.

Preferred Qualifications

  • 2–3 years of program/project administration experience.
  • 2–3 years supporting multiple individuals in a dynamic, fast-paced environment.
  • Experience in higher education.
  • Ability to think critically and make strategic recommendations.
  • Ability to determine efficiencies and implement changes.
  • Ability to build relationships across the organization.
