Program Assistant 3
Job Summary
Captures administrative processes and prioritizes, directs, and responds to business matters involving administrative functions associated with education, research, and/or operations. Provides direct support to I.AIM faculty by managing calendars, submitting expenses, organizing travel, creating documents, and professional email communications.
Specific Responsibilities
- Managing faculty calendars
- Submitting expenses, paying invoices and owning the institute corporate card
- Coordinating I.AIM’s memberships, listservs and machforms
- Student support: space, expenses, IT, etc..
- Event planning and execution
- Building/office badges, tenant concerns, facility requests and office access
- Meeting management: agenda, notes, calendar invites, and follow ups
- Screens and prioritizes I.AIM communications for phone calls and the I.AIM inboxes
Minimum Qualifications
- High school or equivalent
- Knowledge of Microsoft Office, word processing, spreadsheet, email, and database software programs
- 4 years administrative support or other relevant experience required
Preferred Qualifications
- Knowledge Of Northwestern University Systems
- Understanding Of Ai Tools Such As Copilot, Chatgpt, Claude, Etc
