Target hiring range for this position is between $19.75–$23.00 per hour. Offered salary will be determined by the applicant’s education, experience, knowledge, skills, and abilities, as well as internal equity and alignment with market data.

About the role

We are seeking a program assistant for the Pritzker Pucker Studio Lab for the Promotion of Mental Health via Cinematic Arts (PPSL) and the Radio/TV/Film department in Northwestern University’s School of Communication. Learn more about the Lab.

Provides standard and routine clerical and administrative support which may include word processing, data entry, ordering supplies, crafting emails, reports, spreadsheets, databases; basic bookkeeping; screening emails, calls, and visitors; organizational and marketing support for special events and guest speakers.

Responsibilities

  • Documents & Databases
    • Prepares manuscripts, scientific, technical, and/or statistical documents.
    • Proofs for spelling and grammar.
    • Enters information into spreadsheets and/or databases.
    • Creates equations.
    • Compiles routine reports, statistics, tables, charts, etc. from readily available information.
  • Website
    • Coordinates content maintenance of websites and/or blogs.
    • Trains and/or assists faculty and/or staff in updating their websites and/or blogs.
  • Accounting
    • Processes accounts payables and/or receivables.
    • Verifies income and/or expense.
    • Resolves discrepancies and over/under budget problems.
    • Enters, tracks, and maintains documentation and logs of financial transactions.
    • Ensures that charges have posted to appropriate accounts.
    • Assists with reconciliation of accounts.
    • Reviews budget statements.
    • Investigates and resolves discrepancies.
    • Prepares budget reports and spreadsheets.
    • Completes routine payroll actions.
  • Coordination
    • Coordinates supervisor's and/or department calendar.
    • Coordinates registration and travel.
    • Coordinates events which may include scheduling rooms and/or guest speakers and arranging for routine materials, technology, and refreshments.
  • Contacts
    • Provides information via phone, email, mail, etc.
    • Represents supervisor in routine/standard situations with various levels of personnel both internally and externally.
  • Student Services
    • Guides students through admissions process.
    • Reviews student files/records for academic progress and referral.
    • Applies knowledge of federal and state regulations.
    • Interprets existing policies and procedures.
  • Supervision
    • Coordinates work of receptionists, program assistants, temporary/work-study students, etc.
  • Performs other duties as assigned.

Requirements

  • A high school diploma or equivalent required.
  • 2 years of administrative support or other relevant experience required.
  • Intermediate knowledge of word processing, spreadsheet, email, and database software programs, and basic accounting/budget tracking is required.

Preferred Qualifications

  • Experience with budgeting, event coordination/planning/organizing, marketing, and communications preferred.
  • Strong organizational and interpersonal skills.
  • Excellent written and verbal communication skills.
  • Detail-oriented.
  • Experience with Canva, WordPress, Excel, Microsoft Word, Adobe Photoshop.

Pay

$19.75–$23.00 per hour.
