$34.76/hour per the Clerical Labor Agreement.

Qualifications

  • Associate/technical degree or equivalent of high school diploma plus three or more years of progressive administrative experience.
  • Excellent public relation skills and the ability to be discreet and tactful when dealing with staff, students, and parents.
  • Clear, concise, and professional verbal and written communication skills.
  • Excellent reading comprehension, grammar, and ability to write routine reports and correspondence.
  • Ability to make computations using whole numbers, fractions, and decimals.
  • Ability to apply common sense understanding to carry out instructions furnished in written and oral form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Proficiency with computers and related software/hardware.
  • Ability to perform duties with awareness of all district requirements and Board of Education policies.
  • Ability to establish and maintain effective working relationships with students, parents, associates, administrators, and community members.

Responsibilities

  • Advise and disseminate information to students, staff, and parents regarding procedures, policies, and events; determine appropriate decisions in response to situations when the principal is not available.
  • Coordinate all communication and correspondence, including staff and parent newsletters, handbooks, school calendar, crisis manual, and special communications; responsible for editing the work of others.
  • Coordinate all web school news management and school website management.
  • Serve as a lead to support staff, including assigning work, monitoring progress, providing instructions under the direction of the principal, and training, supporting, and appraising other building support staff.
  • Coordinate scheduling of appointments for the principal and principal staff; maintain a yearly master calendar of activities and events.
  • Coordinate with Community Education for scheduling activities and resolve building problems/conflicts.
  • Coordinate and verify the substitute management system; direct and support substitutes with assignments and assist in securing substitutes for the building.
  • Process attendance and payroll information and account codes for the building.
  • Work with administration on staffing needs, including scheduling interviews, processing all personnel forms (employment, change, extra assignments, and leaves), and maintaining personnel records.
  • Coordinate technology and phone needs for staff and manage staff security; provide training on technology as needed.
  • Process workers' compensation claims and coordinate all claims with Human Resources.
  • Maintain student information, including enrollments, reporting, and records; maintain report card data and test results.
  • Assist with the coordination of testing and administration.
  • Assist the principal in monitoring building revenue and expenditures; monitor budgets and maintain financial records.
  • Generate reports, verify and reconcile accounts and purchases, and prepare and process purchase orders for the building.
  • For elementary schools: serve as building bookkeeper, ensure vault security procedures, process deposits, monitor and reconcile purchase orders, and maintain W-9 records.
  • Assist in the preparation of all special events/programs, including open houses, graduation, kindergarten round-up, registrations, conferences, field trips, and celebrations.
  • Coordinate conferences and communication time.
  • Respond to emergency healthcare needs of students and staff.
  • Assist with mailroom responsibilities and coordinate mailings.
  • Coordinate emergency preparedness.
  • Assist with transportation issues and needs.
  • Maintain an effective, pleasant, inviting, and confidential office work area.
  • Provide food/materials for meetings.
  • Coordinate volunteer activities.
  • Participate in building/district committees.
