Hunton Andrews Kurth LLP, an international law firm, is seeking a professional assistant for its Public Finance team. This role performs specialized and secretarial/administrative duties to support the practice area, clients, and the firm while ensuring high levels of client service and satisfaction.

Responsibilities

  • Maintains a leadership role in team and firm-related projects, including lawyer committee work, community service projects, and public relations activities.
  • Complies with the firm’s Client File Maintenance policy for managing electronic and hardcopy client files, ensuring proper barcoding, labeling, and storage in iManage. Ensures timely closing of files and monitors workrooms for compliance with Records policy.
  • Coordinates with assigned attorneys to ensure client/matter electronic materials (emails, documents, etc.) are stored in iManage, not Outlook or drives. Provides administrative support to manage electronic files, including moving emails from Outlook to iManage and filing attachments appropriately.
  • Works with attorneys and team members to promote a paperless workplace through technology utilization.
  • Creates, proofreads, and edits complex legal documents from various sources (electronic versions, handwritten drafts, rough notes, or tape dictation). Drafts transmittal letters and standard memoranda, reviews and proofreads outgoing materials, and performs document cleanup for external documents in accordance with firm standards.
  • Arranges conference calls with clients and outside parties; operates photocopy, videoconferencing, and scanning equipment. Keeps the coverage group informed of attorneys’ and assistants’ schedules and may provide telephone coverage for the team.
  • Arranges appointments, coordinates meetings, reserves conference rooms, and handles teleconferencing and equipment setup. Coordinates travel arrangements and submits timely expense reimbursement and payment requests while adhering to firm policies and coding requirements.
  • Performs special projects as assigned.

Requirements

  • High school diploma or equivalent required; college degree preferred.
  • Minimum three years of legal secretarial experience (or equivalent) required; prior law firm experience preferred.
  • In-depth knowledge of firm and team-specific software, including word processing, document management, file management, spreadsheets, calendaring, and time management. Proficiency in Microsoft Office and PDF required; proficiency in iManage and other firm software applications preferred.
  • Fundamental accounting aptitude and experience with accounting software preferred, including interpreting and analyzing client accounting reports.
  • Compliance with firm in-office policy required.
  • Accurate typing, strong word processing skills, and familiarity with legal terminology and procedures.
  • Excellent communication skills, including high-quality spelling, punctuation, and grammar.
  • Ability to exercise initiative in problem-solving, make sound decisions with minimal instruction, and manage multiple tasks.
  • Ability to work under pressure, maintain flexibility, and adapt to changing conditions.
  • Visual acuity for transcription, extensive reading, and moderate to advanced keyboard usage.
  • Ability to sit or stand for extended periods and perform physical tasks such as lifting, carrying, reaching, or bending for filing or moving files/supplies weighing up to 5-10 pounds.
  • Ability to work overtime on short notice and collaborate effectively as part of a team.
