Primary Responsibilities
- Quote Development & Procurement Coordination:
- Develop accurate hardware, software, and warranty quotes based on client, project, and service delivery requirements.
- Source pricing from approved vendors and distributors to ensure competitive pricing and product availability.
- Process purchase orders and coordinate procurement activities in alignment with project timelines and client needs.
- Order hardware, warranties, software, and related technology products while maintaining accurate purchasing records.
- Order Fulfillment & Vendor Coordination:
- Track orders from quote approval through delivery, ensuring timely fulfillment and issue resolution.
- Monitor vendor lead times, backorders, shipping status, and delivery schedules.
- Coordinate with strategic vendors and distributors, including TD Synnex, Ingram, Dell, Lenovo, Microsoft, and other partners to ensure accurate and timely order fulfillment.
- Proactively identify and escalate procurement risks, delays, or fulfillment challenges.
- Communication & Cross-Functional Support:
- Serve as the primary communication hub between vendors, Account Executives (AEs), Account Managers (AMs), Technical Directors (TDs), Project Managers (PMs), Finance, Service Delivery, and other stakeholders.
- Provide regular updates regarding order status, ETA changes, shipment delays, backorders, and resolution plans.
- Ensure all stakeholders have visibility into procurement activities and outstanding actions.
- Vendor Relationship Management:
- Develop and maintain relationships with key vendors, distributors, manufacturers, and Courser/Geo procurement and product managers.
- Assist with pricing negotiations, purchasing programs, rebates, and vendor escalations.
- Monitor vendor performance and identify opportunities to improve service levels, turnaround times, and purchasing efficiency.
- Support annual vendor reviews and maintain vendor documentation as required.
- Licensing Coordination:
- Monitor licensing request workflows and ensure requests are routed and processed in a timely manner.
- Coordinate with Sales Administrators to ensure licensing purchases, changes, and renewals are completed accurately.
- Track outstanding licensing requests and follow up on aging items.
- Maintain visibility into licensing-related activities without direct ownership of licensing administration.
- Reporting & Process Management:
- Generate and distribute procurement, purchasing, backlog, shipment, vendor performance, and licensing workflow reports.
- Track and report on open orders, aging orders, delayed shipments, warranty expirations, and procurement cycle times.
- Maintain accurate records of quotes, purchase orders, vendor agreements, deliveries, and procurement activities.
- Identify opportunities to improve procurement processes, communication, reporting, and operational efficiency.

This role focuses on quote development, procurement execution, vendor coordination, reporting, and communication, while making Sales Administration accountable for licensing management rather than transferring that responsibility to procurement.
