Procurement Specialist

Responsibilities

  • Partner with internal stakeholders to understand business needs and support procurement strategies for IT-related initiatives.
  • Cook up RFI/RFP activities, including gathering requirements, organizing timelines, tracking responses, and monitoring outcomes.
  • Handle day-to-day requests for hardware, software, and services, including creating and issuing purchase orders as needed.
  • Request quotes, compare options, evaluate pricing, and support vendor negotiations to help secure favorable outcomes.
  • Review purchase orders for accuracy, including coding, pricing, and supporting details.
  • Process invoices for payment and help ensure smooth procurement operations.
  • Communicate order status and PO details to internal customers and stakeholders.
  • Support savings tracking, supplier improvement efforts, and service enhancement initiatives.
  • Aid in statements of work and review content for completeness and alignment with business needs.
  • Build and maintain strong relationships with technology vendors while following sourcing policies and procedures.
  • Assist with new supplier onboarding and collaborate with cross-functional teams throughout the sourcing process.

Requirements

  • Experience sourcing IT hardware, software, SaaS, or technology services.
  • Background in contract negotiation, including master agreements.
  • Ability to manage RFI/RFP processes and support sourcing activities from start to finish.
  • Strong analytical skills with the ability to evaluate costs, compare options, and track savings.
  • Excellent attention to detail and strong organizational skills.
  • Clear written and verbal communication skills with the ability to explain complex topics simply.
  • Ability to build productive relationships with internal stakeholders and external vendors.
  • Comfort working in a fast-paced, multi-faceted environment with multiple priorities.
  • Basic understanding of organizational accounting and invoice processing.
  • Ability to work both independently and collaboratively as part of a team.

Preferred Skills

  • Indirect sourcing experience.
  • Experience using procurement platforms such as Ariba, Coupa, or GEP.
  • 3+ years of sourcing experience with responsibility for managing $1MM+ in category spend.
  • Project management experience.
  • Experience acting as a trusted advisor or “product consultant” to business partners.
  • Familiarity with supplier development and continuous improvement efforts.
