Responsibilities

  • Coordinate and schedule medical procedures by communicating with patients, physicians, and clinical staff to confirm availability and procedural requirements.
  • Verify patient information, insurance coverage, and pre-authorization status to ensure compliance with healthcare policies and reduce scheduling delays.
  • Maintain accurate and up-to-date scheduling records in electronic health record (EHR) systems and other scheduling software.
  • Manage appointment changes, cancellations, and rescheduling while minimizing disruptions to clinical operations and patient care.
  • Provide timely and clear communication to patients regarding procedure preparation instructions, appointment details, and any necessary follow-up.
  • Collaborate with multiple departments including nursing, billing, and medical records to ensure seamless procedural coordination.
  • Identify and resolve scheduling conflicts or issues proactively to maintain efficient use of clinical resources.

  • Utilize strong organizational skills to manage multiple appointment schedules efficiently, ensuring optimal use of clinical resources.
  • Communicate effectively with patients, healthcare providers, and administrative teams to coordinate procedures and resolve scheduling conflicts.
  • Proficient in using electronic health record systems and scheduling software for accurate data entry and real-time updates.
  • Knowledgeable in medical terminology and healthcare procedures for clear understanding and accurate scheduling of diverse medical interventions.
  • Show attention to detail and problem-solving skills to handle insurance requirements and patient needs, contributing to a smooth and patient-centered scheduling process.

Qualifications

  • High school diploma or equivalent required; associate degree or higher preferred.
  • Previous experience in medical scheduling, healthcare administration, or a related field.
  • Familiarity with medical terminology and healthcare procedures.
  • Proficiency in using electronic health record (EHR) systems and scheduling software.
  • Strong organizational and communication skills.

Preferred Qualifications

  • Certification in medical office administration or healthcare scheduling (e.g., Certified Medical Administrative Assistant).
  • Experience working in a hospital, outpatient clinic, or specialty medical practice.
  • Knowledge of insurance verification and pre-authorization processes.
  • Ability to handle sensitive patient information in compliance with HIPAA regulations.
  • Advanced proficiency with Microsoft Office Suite and healthcare management software.
