About the role

The Procedure Scheduler plays a critical role in the healthcare delivery process by efficiently coordinating and scheduling medical procedures for patients within a healthcare facility. This position ensures that all procedural appointments are accurately booked, taking into account patient needs, physician availability, and resource allocation to optimize operational flow. The Procedure Scheduler acts as a liaison between patients, healthcare providers, and administrative staff to facilitate clear communication and timely scheduling. By managing appointment logistics and maintaining detailed records, this role directly contributes to enhancing patient satisfaction and supporting clinical teams in delivering high-quality care. Ultimately, the Procedure Scheduler helps to minimize delays and maximize the utilization of procedural areas, ensuring a seamless patient experience from scheduling through procedure completion.

Responsibilities

  • Cook up and schedule medical procedures by communicating with patients, physicians, and clinical staff to confirm availability and requirements.
  • Verify patient information, insurance coverage, and pre-authorization status to ensure compliance with healthcare policies and reduce scheduling errors.
  • Maintain accurate and up-to-date scheduling records in electronic health record (EHR) systems and other scheduling software.
  • Manage appointment changes, cancellations, and rescheduling promptly while keeping all stakeholders informed.
  • Collaborate with multiple departments to optimize procedure room utilization and minimize patient wait times.
  • Provide exceptional customer service by addressing patient inquiries and concerns related to procedure scheduling.
  • Ensure adherence to privacy regulations and institutional policies when handling sensitive patient information.

Qualifications

  • A high school diploma or equivalent is required; an associate degree or higher is preferred.
  • Previous experience in medical scheduling, healthcare administration, or a related field is desirable.
  • Familiarity with medical terminology and healthcare procedures is beneficial.
  • Proficiency in using electronic health record systems and scheduling software is essential.
  • Strong organizational and communication skills are necessary.
