Responsibilities
- Coordinate and schedule medical procedures by communicating with patients, physicians, and clinical staff to confirm availability and requirements.
- Verify patient information, insurance coverage, and pre-authorization status to ensure compliance with healthcare policies and reduce scheduling delays.
- Maintain accurate and up-to-date scheduling records in electronic health record (EHR) systems and other scheduling software.
- Manage appointment changes, cancellations, and rescheduling while minimizing disruptions to clinical operations.
- Provide patients with clear instructions regarding their procedures, including preparation guidelines and arrival times.
- Collaborate with multiple departments to optimize resource utilization and support efficient patient flow.
- Address patient inquiries and resolve scheduling conflicts with professionalism and empathy.
Skills
- Strong organizational skills to manage complex appointment calendars and ensure efficient use of clinical resources.
- Effective communication skills for interacting with patients, healthcare providers, and administrative teams to coordinate scheduling and resolve conflicts.
- Proficiency with electronic health record (EHR) systems and scheduling software for accurate data entry and real-time updates to patient appointments.
- Knowledge of medical terminology and healthcare procedures for clear understanding and communication of patient needs and preparation instructions.
- Problem-solving skills to adapt to last-minute changes and maintain smooth operational workflows.
Qualifications
- A high school diploma or equivalent is required; an associate degree or higher is preferred.
- Previous experience in medical scheduling, healthcare administration, or a related field is desirable.
- Familiarity with medical terminology and healthcare procedures is necessary.
- Proficiency in using electronic health record (EHR) systems and scheduling software is required.
- Strong organizational and communication skills are essential.
