Responsibilities

  • Coordinate and schedule medical procedures by communicating with patients, physicians, and clinical staff to confirm availability and requirements.
  • Verify patient information, insurance coverage, and pre-authorization status to ensure compliance with healthcare policies and reduce scheduling delays.
  • Maintain accurate and up-to-date scheduling records in electronic health record (EHR) systems and other scheduling software.
  • Manage appointment changes, cancellations, and rescheduling while minimizing disruptions to clinical operations.
  • Provide patients with clear instructions regarding their procedures, including preparation guidelines and arrival times.
  • Collaborate with multiple departments to optimize resource utilization and support efficient patient flow.
  • Address patient inquiries and resolve scheduling conflicts with professionalism and empathy.

Skills

  • Strong organizational skills to manage complex appointment calendars and ensure efficient use of clinical resources.
  • Effective communication skills for interacting with patients, healthcare providers, and administrative teams to coordinate scheduling and resolve conflicts.
  • Proficiency with electronic health record (EHR) systems and scheduling software for accurate data entry and real-time updates to patient appointments.
  • Knowledge of medical terminology and healthcare procedures for clear understanding and communication of patient needs and preparation instructions.
  • Problem-solving skills to adapt to last-minute changes and maintain smooth operational workflows.

Qualifications

  • A high school diploma or equivalent is required; an associate degree or higher is preferred.
  • Previous experience in medical scheduling, healthcare administration, or a related field is desirable.
  • Familiarity with medical terminology and healthcare procedures is necessary.
  • Proficiency in using electronic health record (EHR) systems and scheduling software is required.
  • Strong organizational and communication skills are essential.
