Principal Executive Assistant
About the role
As a Principal Executive Assistant at The Knot Worldwide, you are a strategic extension of our leadership team. This high-visibility role provides comprehensive, high-level support to our CEO. You will act as the operational anchor for the heart of our corporate functions.
Primary responsibilities
- Strategic Time Management: Proactively own the Executive's time and be a doorkeeper using judgment and discretion to ensure your Executives are in the right places with the right people focused on key priorities. Anticipate conflicts before they happen and ensure Plan B and C are always in place to ensure smooth operations.
- Strategic Relationship Management: Enable productive connections via communication touch points such as staff meetings, all-hands, priority business meetings. Act as an intuitive bridge for the Executives. Identify key stakeholders they need to meet with, suggest syncs with cross-functional partners, and ensure the right people are in the room to drive initiatives forward.
- Communication & Email Proxy: Manage executive email flows. Sort, prioritize, and draft communications, mirroring the "voice" of your leaders to expedite response times.
- Global Travel Architecture: Expertly own end-to-end domestic and international travel. Own complex, multi-city itineraries including air, lodging, ground transport, and visa requirements.
- Operational Support: Maintain organization charts, manage senior-level interview scheduling, and oversee the onboarding process for new leadership hires.
- Financial Administration: Review and process expense reports, purchase orders, and approvals using Navan, Brex, and Coupa with absolute precision.
- Board & Prep Mastery: Support prep materials, agendas, and minutes for high-level engagements, including Board of Directors meetings and All-Hands.
- Cross-Functional Team Integration: Partner seamlessly with the global Executive Assistant cohort and Chief of Staff to ensure synchronized operations; provide proactive administrative coverage for other leadership stakeholders during absences to maintain organizational momentum and a "no-gap" support environment.
- NYC Culture Carrier: Collaborate and engage with key stakeholders in-office such as Culture & Experience, and Internal Communications in efforts to bring experiences to our leadership, employees, and external stakeholders.
- AI Integration: Leverage Gemini, Claude, and ChatGPT to summarize information, draft content, and optimize your administrative output.
The successful candidate
Experience: 6+ years supporting C-suite leaders, specifically CEO, within a fast-paced, global organization.
Timeliness, accuracy, judgement and discretion are critical skills and experiences.
Discretion: An impeccable history of handling highly sensitive legal, financial, and people-related data.
Presence: Exceptional verbal and written communication skills with the "executive presence" to engage across critical stakeholders and represent your executives.
Problem Solving: A self-starter with a "consultative" approach to problems; you don't wait for instruction, you provide solutions.
Resilience: The ability to maintain a calm, focused environment during periods of rapid change or organizational stress.
Travel Expertise: Proven history of managing heavy, complex international travel with zero room for error.
Flexibility: Open to travel and occasional weekend work to match the rigor of the Executives' schedules.
Tech Mastery: Advanced proficiency in Google Workspace (specifically Slides) and Slack.

Work Model
This role is Together@TKWW-eligible and based near one of our office hubs. You’ll be expected to work in the office four days a week as part of our hybrid work model.
Annual salary range
$108,850 - $186,600 USD
