Saint Alphonsus Health System is hiring a PreService Specialist to support the Regional Scheduling Team. This part-time role focuses on scheduling patients, verifying insurance, and obtaining prior authorizations.

About the role

This position is responsible for pre-registering patients, validating and entering demographic, clinical, financial, and insurance information, and ensuring smooth billing processes. Training will be on-site for at least 3 months; hybrid eligibility will be determined by the manager.

Schedule

  • 20 hours per week
  • Flexible scheduling within office hours: 9:30 AM – 6:00 PM, Monday–Friday
  • Options: two 8-hour days + one 4-hour day per week or five 4-hour days per week
  • Hybrid work eligible after initial training period

Responsibilities

  • Pre-register patients by interviewing the patient, family member, or guarantor
  • Validate, obtain, and enter demographic, clinical, financial, and insurance information into the patient accounting system
  • Communicate via phone, fax, patient portal/e-mail, or mail to gather information and ensure patient relations and billing accuracy
  • Provide patients with details on directions, parking, transportation, and accommodations
  • Perform insurance eligibility and benefit verification using EDI transactions, payer web access, or direct calls
  • Document verification outcomes and determine next steps (e.g., self-pay designation, financial counseling referrals)
  • Determine need for service authorizations and coordinate with physicians or Case Management/Utilization Review as needed
  • Inform patients of financial liabilities and collect co-payments, co-insurances, deductibles, deposits, or outstanding balances
  • Calculate patient liabilities, provide financial education, and refer to financial counseling when required
  • Document payments and provide receipts for collected funds
  • Validate medical necessity (LCD/NCD review) for Medicare and non-Medicare cases to ensure clinical and financial clearance
  • Clarify diagnoses or procedures with scheduling or ancillary departments as needed

Requirements

  • High school diploma or equivalent (required)
  • Associate degree or equivalent combination of education and experience (preferred)
  • Data entry skills (50–60 keystrokes per minute)
  • At least 2 years of experience in healthcare and/or payer environments performing patient access or customer service activities (highly desired)
