As part of our clinical support team, you'll provide exceptional customer service and administrative support to ensure the highest quality work standards.
Responsibilities
- Answer phone calls professionally, respond to voicemails in a timely manner, and use available technologies to communicate with patients.
- Guide patients through troubleshooting for company technology, including telehealth applications and portals.
- Process medication prior authorizations.
- Support providers with administrative duties such as document preparation, correspondence, phone calls, and completion of required forms.
- Answer general questions about the practice and services provided.
- Collaborate with team members and locations to provide excellent customer service and resolve patient issues.
- Coordinate care between patients and providers.
- Manage patient scheduling, collect patient financial responsibility, relay financial information, and obtain insurance updates.
- Complete documentation in EMR in a timely, accurate, and professional manner.
- Provide administrative support to providers, facilitate patient-provider coordination, and assist with regulatory compliance and licensure maintenance.
- Follow processes for supporting medication refill requests.
- Help train new team members as needed.
- Track completion of required paperwork for patient files.
- Follow processes for on-site medication handling.
- Potentially be trained in Interventional Treatment support.
- Maintain dependable attendance and provide timely notification of tardiness or absence.
- Support clinicians and prescribers in managing waitlists.
- Maintain a professional dress code (business casual) at all times.
- Ensure all work complies with applicable state and federal regulations.
- Attend trainings and required meetings.
- Perform other duties as assigned.
Qualifications
- High school diploma or equivalent.
- Desire to perform thorough work in a fast-paced environment; detail-oriented, highly organized, and strong time management skills.
- Ability to maintain a professional appearance and demeanor, and interface well with patients and teammates in a mental health setting.
- Excellent communication skills (written and verbal) and ability to work well in a team, especially in stressful situations.
- Patient, empathetic attitude, and adaptable and flexible approach.
- Computer skills, including familiarity with Microsoft applications.
- Phone skills, including familiarity with complex or multi-line phone systems.
- Ability to maintain patient confidence and protect operations by keeping patient information confidential.
- Customer service skills and ability to create a safe, productive work environment while adhering to practice policies.
- Ability to complete other office tasks as needed.
- CPR certified or willing to become certified through an accredited program within 6 months of start.
- Experience as a Medical Assistant (Preferred).
- Experience in a Medical Office or call center (Preferred).
- Experience verifying insurance, obtaining pre-authorizations, and scheduling for multiple providers (Preferred).
- Familiarity with HIPAA regulations (Preferred).
- Experience with EMR (electronic medical records), medical terminology, and a basic understanding of clinical pharmacology (Preferred).
- Data entry skills (Preferred).
- Experience working with patients suffering from anxiety and depression (Preferred).
- Exceptional interpersonal, rapport-building, and active listening skills (Preferred).

Pay
The hourly compensation range for this role is $20 – $23. Actual compensation may vary based on licensure, experience, market-driven enhancements, and incentive opportunities.
