About the Role

As a dual-site Practice Manager in our Western Massachusetts region, you will play a pivotal role in the day-to-day operational efficiency of two clinics while contributing to their long-term strategic goals. At this time, we are seeking a strong team member to support our Western Massachusetts region. Final clinic locations will be determined at a later date based on business needs and candidate alignment. Particularly strong candidates will be flexible and willing to travel throughout the region to support various clinics during their first few months, gaining exposure to multiple teams and locations before transitioning into their long-term home base.

Responsibilities

  • Oversee and optimize daily clinic operations to ensure efficient and effective patient care.
  • Efficiently manage and lead the scheduling operations for the clinic, ensuring optimal utilization of resources and staff to meet patient needs.
  • Collaborate with healthcare providers and support staff to maintain a high standard of patient service.
  • Enforce clinic policies and procedures to ensure compliance with regulatory standards.
  • Act as the point of contact for any patient feedback, working with the Medical Leadership team to address concerns.
  • Place and manage orders for medical supplies, equipment, and other necessary materials in a timely and cost-effective manner.
  • Coordinate with the finance department to track expenses related to supplies and ensure adherence to the budget.
  • Provide oversight of staffing, scheduling, inventory, and day-to-day operational workflows across two clinic locations to ensure consistency and efficiency.
  • Monitor and analyze performance metrics at each site, proactively identifying gaps, trends, or inefficiencies and implementing actionable solutions to optimize operations.
  • Maintain a consistent on-site presence at both locations to support, mentor, and develop team members while reinforcing operational standards and a cohesive culture across clinics.
  • Recruit, train, supervise, and engage clinic staff, fostering a positive, collaborative, and supportive work environment.
  • Conduct performance evaluations and provide ongoing feedback to enhance staff development.
  • Foster teamwork and effective communication among all clinic team members.
  • Collaborate with the Regional Leadership team (Director of Operations & Medical Director) to contribute to the development and execution of strategic initiatives.
  • Analyze market trends and competitive landscape to identify growth opportunities.
  • Implement strategies to enhance the clinic's market presence and community engagement.
  • Monitor and maintain compliance with quality standards, regulatory requirements, and accreditation criteria.
  • Implement quality improvement initiatives to enhance patient outcomes and satisfaction.
  • Partner with your District Director along with corporate resources to ensure effective communication and goal alignment.

Requirements

  • Exceptional people manager and team leader with 1-3 years of demonstrated success in leading, mentoring, and growing teams.
  • Demonstrated skills in medical practice management, human resources, and data analysis.
  • Ability to work independently, with a level of initiative and enthusiasm to help drive results.
  • Effective communicator (written and verbal) and cross-collaborator, able to establish and maintain positive relationships with team members and stakeholders.
  • Familiarity with medical billing systems, basic medical coding, and basic medical terminology.
  • Experience with Microsoft Office, specifically SharePoint, Word, and Excel.
  • Availability to work in clinic Monday through Friday with a rotating on-call for weekends and flexibility to support the opening and closing of clinic regularly.

Preferred Qualifications

  • Degree in health management, health administration, nursing, business administration, or related field.
  • Experience with When to Work, Clockwise, ADP, and Envi.

Pay

In order to maintain equity among team members, ConvenientMD has established defined salary ranges for each role. The pay range for this position is $90,000 USD - $110,000 USD, with individual pay determined based on factors including location, years of relevant experience, current market conditions, and budget considerations.

In addition to base compensation, Practice Managers at ConvenientMD are eligible for an incentive bonus that is directly tied to clinic performance. Practice Managers overseeing two sites are eligible to earn incentive bonuses for both clinics. Incentive bonuses are paid on a quarterly basis and are designed to reward strong operational and financial performance.
