About the role
This position provides overall administrative management of a variety of business-related functions, strategic planning, budget development and cost center management under the direction of the Practice Administrator. It involves hands-on leadership for all aspects of patient relations, staffing, marketing, insurance, and financial activities.
Responsibilities
- Interviewing and hiring
- Preparing performance reviews for direct reports
- Developing and maintaining employee’s annual goals
- Implementing corrective action and performance improvement plans
- Ensuring compliance with all existing governmental and labor legal and government reporting requirements
- Protecting the interests of employees and the company in accordance with company Human Resources policies and governmental laws and regulations
- Maintaining effective communication with staff in all levels
- Monitoring all time performance and pay practices and systems for effectiveness and cost containment
- Making recommendations to Administrator for updated employee job descriptions and (re)allocation of job duties
- Maintaining and updating staff incentive programs
- Maintaining and monitoring staff for compliance
- Auditing performance of sites for compliance with standards, policies and Procedures
- Maintaining optimal physical environment for the Department and reporting any unsafe conditions, inoperative equipment or other adverse conditions to Administrator
- Managing payroll and benefits for staff
- Assisting Practice Administrator in development and evaluation of departmental policies and procedures
- Assisting Practice Administrator in Practice-wide special projects
- Preparing staff to respond effectively to both internal and external company issues
- Providing administrative support to Faculty, APP’s, and Administrator
Requirements
- Bachelor’s degree is required, Masters degree preferred
- Proven management skills with a minimum of three to five years of experience working in a management capacity in a medical office or clinical setting
- Project a professional image, set an example of excellence and earn the confidence of others
- Have pristine verbal and written communication skills and have experience in and a desire to deal professionally with the public
- Have exceptional interpersonal and relationship-building skills
- Have a high level of critical and ethical thinking/behavior and be able to deal with difficult situations with a high level of emotional intelligence
- Understand principals of quality management and be able to lead and facilitate groups of individuals that emphasizes quality, continuous improvement, and high performance
- Have strong confidentiality skills, and have the ability to quickly earn the confidence of others
- Always maintain a “patient comes first” attitude
- Be self-motivated, learn quickly, and have a “can-do,” optimistic attitude
- Have an excellent working knowledge of personal computers, word-processing and spreadsheet software (such as the Microsoft Suite)
- Experience with medical recordkeeping and billing system is strongly preferred
- Have analytical financial skills, be able to prepare spreadsheets, analyze budgets and interpret information and data
- Be able to be a proactive and effective problem solver
- Be HIPAA compliant at all times
- Be willing to complete Albany Med Management Development Programs and any other committee or meeting responsibility as assigned
