About the role
The Practice Group Assistant provides administrative and operational support to attorneys in the Corporate, Commercial Transactions & Outsourcing Practice Group.
Responsibilities
- Prepare, review, and distribute client billing proformas;
- Coincide and implement attorney billing edits, monitor billing deadlines, and collaborate with attorneys and Accounting to facilitate timely and accurate client invoicing.
- Aid attorneys with time entry, time review, and timekeeping follow-up.
- Coordinate new client and matter intake, including matter opening requests and related administrative requirements.
- Facilitate conflicts check requests and monitor completion of the conflicts review process.
- Maintain electronic and physical client files in accordance with firm policies and procedures.
- Support document management activities, including filing, organization, retrieval, and records maintenance.
- Aid with preparation, review, and distribution of routine correspondence and legal documents.
- Coordinate with attorneys and internal departments to ensure timely completion of practice support requests.
- Handle additional administrative and operational duties as assigned.
Qualifications
- Prior experience supporting attorneys, legal professionals, or other professionals in a fast-paced environment preferred.
- Experience with billing, time entry, matter management, records management, or document management systems preferred.
- Strong attention to detail and organizational skills.
- Ability to manage multiple priorities and meet deadlines.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office and other business applications.

- Self-starter with the ability to identify priorities, take initiative, and manage multiple assignments with minimal supervision.

- Ability to learn and apply firm policies, procedures, and technology systems.
