About the role

Vituity is seeking a Hospital Medicine Practice Administrator to join our team at HSHS St. John's Hospital in Springfield, IL. This role plays a vital part in our mission to transform healthcare and improve lives.

Responsibilities

  • Provide direct, business operations support to medical directors, site physician partners, advanced providers, and scribes (when applicable).
  • Act as the front-line liaison for the provider team with hospital C-Suite, nursing leadership, nursing staff, and Vituity support team.
  • Assist with site financials, including contract stipends, expense reimbursements, and site payroll timecards.
  • Act as the super user for all Vituity software applications and serve as a point person for hospital software and hardware systems.
  • Support providers in criminal or civil disputes, including receiving and routing subpoenas, scheduling depositions, and trial testimony.
  • Manage office operations, including meeting management, office systems, supplies, site events, and customer service.
  • Facilitate patient census and attend daily multi-disciplinary rounds.
  • Ensure adequate coverage in clinical schedules to maintain patient care continuity.
  • Collect, track, and analyze site financial and operational data.
  • Project manage site operational programs, including Operations Meetings, Patient Experience Program, Quality/Performance Improvement Program, Advanced Provider and/or Scribe Programs, and Student or Resident rotations.
  • Ensure all aspects of recruiting and onboarding new providers and employees, including locums and reservists and/or residents and students.
  • Ensure all licensed providers complete recredentialing timely and appropriately for their licensing, certificates, and credentials required by Vituity and hospital Medical Staff Office.
  • Ensure all site partners and employees remain compliant with Vituity and hospital programs and other mandated training or requests.
  • Act as the point person for all Vituity People Operations (Human Resources) relations, ensuring accurate site roster and compliance with employment law and Vituity policies.
  • Develop and maintain site onboarding and orientation checklists and manuals.
  • Collaborate with Medical Director and Site Management Team in developing and maintaining site practice policies and procedures.
  • Ensure all medical records and data submission to Revenue Cycle Management in a timely manner and responsible for appropriate charge capture in designated system.
  • Ensure billing and documentation compliance through completion of site WIP/TAD lists, answering provider routine questions, and scheduling meetings with Revenue Cycle Management billing team.
  • Ensure completion of mandated forms and requests as appropriate, including death certificates, physician office requests, State specific Workers Compensation and Motor Vehicle Department reporting compliance, and pharmacy requests.

Requirements

  • High school diploma or equivalent and 2+ years of experience in an office or healthcare setting.
  • Associate or Bachelor’s degree in Business Administration, Human Resources, or related field preferred.
  • Experience working in the healthcare field preferred.
  • Knowledge of healthcare and medical terminology preferred.
  • Knowledge of general Human Resource principles preferred.
  • Knowledge of Federal, State, and County Agencies who regulate the Healthcare Industry preferred.
  • Intermediate to advanced MS Excel, Word, PowerPoint, and Outlook skills.
  • Strong consultation skills and the ability to seek out information.
  • Strong work ethic, organizational skills, and interpersonal skills.
  • Ability to prioritize and work in a stressful environment.
  • Ability to be self-directed, motivated, and sensitive to deadlines.

Pay

The base salary range for this position is $20.97 - $26.22, exclusive of fringe benefits or potential bonuses. This position is also eligible to participate in our annual corporate Success Sharing bonus program, which is based on the company’s annual performance. If you are hired at Vituity, your final base salary compensation will be determined based on factors such as skills, education, and/or experience. We believe in the importance of pay equity and consider internal equity of our current team members as a part of any final offer.
