Portable Programs Coordinator

Derse is a complete face-to-face marketing agency and exhibit builder with over 75 years of financial stability, employing more than 600 people across marketing, program management, creative & skilled production, and corporate support in locations including Milwaukee, Chicago, Las Vegas, Dallas, Pittsburgh, and various communities in Poland & Germany. As a Portable Programs Coordinator on the Logistics team, you will manage client inventory, enter and track jobs, place transportation orders, review and reconcile credit card statements, and support the growing world of trade shows and experiential marketing from the Milwaukee office.

Responsibilities

• Understand individual client program pricing / work scope per program pricing quoted by estimating; immediately bring any related job variances to Logistics Manager’s attention
• Create and enter Job Number into Accelerate from the Customer Portal or other sources
• Update Accelerate database including inventory management
• Charge labor promptly to Job Number based off Portable Programs Service Provider Template
• Enter events into Portable Program Calendar for divisional viewing
• Prepare show service orders when necessary and generate POs
• Place transportation orders, generate PO and add PO to transportation interface reference line
• Place I&D orders when necessary and generate PO
• Manage Damage Claims
• Perform quality control prior to shipping
• Reconcile credit card charges in Certify regularly
• Review vendor invoices for accuracy and approve or reject; if rejected, follow-up with vendor
• Close out Job and submit to Admin for timely billing
• Use preferred vendor program for Show Services, I&D and Transportation
• Back up other Logistics personnel as needed and directed

Requirements

• Bachelor's Degree OR Associate degree and one or more year of relevant experience required
• Previous trade show or face-to-face marketing experience preferred
• Ability to work with minimal supervision based upon experience or knowledge
• Relationship-focused, self-motivated, high sense of urgency, and process oriented
