About the role
This position serves as the first point of contact with the general public by walk-in or telephone. It involves researching and responding to requests for information from the public in accordance with Department and State guidelines. Responsibilities include managing the lobby records window, processing all public records requests for the Police Department, handling background checks, and assisting the public by answering and directing telephone calls.
Responsibilities
- Processes all public records requests for the Police Department including audio, video, and photographs.
- Researches the request, reviews for legal criteria in releasing (under investigation, redaction), and verifies the identity and involvement of the requestor.
- Provides customer service by directing customers and staff to appropriate departments or external agencies.
- Assists the public by answering and directing telephone calls, greeting visitors, resolving problems and answering inquiries.
- Manages the lobby records window.
- Prepares receipts by entering and reconciling in Tyler Cashiering and forwarding to Finance Department.
- Enters citations and trespass notices into records management system.
- Processes crash reports for filing.
- Assists with redaction for public records requests as needed.
Requirements
- Minimum three years experience in a related field.
- Formal Education/Knowledge: Equivalent to four years of high school.
- Experience: Minimum three years experience in a related field.
- Reading: Ability to read general correspondence, records, reports, manuals, court paperwork, and record requests.
- Math: Ability to perform general math calculations such as addition, subtraction, multiplication, and division.
Qualifications
- Must be a U.S. citizen.
- Valid driver's license or ability to obtain one at the time of hire.
- High School Graduate or equivalent.
- Three years of relevant experience.
- No prior convictions for crimes within the past seven years.
- No history of using marijuana within the last six months.
- No history of illegal growing, selling, producing, cultivating, or transporting marijuana.
- No history of using dangerous drugs or narcotics, other than marijuana, in the last seven years.
- No history of using dangerous drugs or narcotics, other than marijuana, more than five times or once since turning 21 years old.
- No history of abusing prescription medication.
- No history of dishonorable discharge from any branch of the United States Armed Services.
- No history of being convicted of traffic violations or offenses which did not result in a conviction.
- No history of being convicted of felonies, misdemeanors, domestic violence offenses, or other criminal charges.
- Experience working with records management systems.
- Experience working in an office environment.
- Experience providing customer service both in person and via telephone.
- Experience working with police records.
- Experience working with confidential records.
- Experience with specific records management systems.
