Responsibilities
- Run pre-launch intake logistics for incoming portfolio managers and their trading teams; keep readiness tracking and milestone status current through go-live.
- Track blockers to closure and escalate aging items to the Lead with the context needed to resolve them.
- Produce clear, current readiness reporting across the onboarding pipeline.
- Work with business leadership to define per-business standards and best practices, including trainings, offerings, and on-going support.
- Compile and maintain the monthly readiness & support scorecard.
- Track and report the function's KPIs — Day 1 readiness rate, technology-readiness exceptions, time-to-trade blockers, handoff metrics, and recurring blocker categories.
- Turn tracker data into clean summaries and visuals leadership can act on.
- Maintain access, entitlement, and training checklists; help confirm a new portfolio manager's technology is ready before they go live.
- Coordinate across Front Office and Technology to ensure goal alignment and accountability.
- Document how intake, handoffs, ownership, and escalation work; write and maintain runbooks.
- Help maintain the support taxonomy and routing references used across the firm's technology and support teams.
- Spot recurring gaps and propose process improvements — build repeatability where today's work is manual.
- Coordinate handoff checklists so new portfolio managers and their teams transition cleanly into ongoing support.
- Prepare and follow up on the standing cross-functional readiness check-ins; track action items to closure.
Qualifications
- Must-haves:
- 2–5 years of experience; early-career with a strong trajectory.
- Financial services exposure required — buy-side preferred; sell-side acceptable depending on the role and exposure.
- Exceptional communication and interpersonal skills — coordinates comfortably across technical and business stakeholders and holds their own in the room.
- Ownership mindset — takes initiative and drives items to closure without task-by-task direction.
- Structured problem-solving — breaks down ambiguous, cross-functional problems into root causes and a clear plan.
- Strong organizational and analytical skills; comfortable working with data (Excel / BI); turns messy inputs into clear structure.
- Strong writer — produces clear process documentation, runbooks, and reporting.
- New York based; in office.
- Nice-to-haves:
- Exposure to hedge-fund or front-office operations, or PM/trader support.
- Familiarity with onboarding, project coordination, or service/support operations.
- Willingness to learn light Python/SQL to work with the function's pipeline tooling — learnable on the job, not required at hire.
- Experience building or maintaining process documentation, taxonomies, or KPI reporting.
- Experience using AI and LLM tools to automate tasks is preferred.
