Placement Coordinator

Key Duties and Responsibilities

• Aid potential adopters through the adoption process, ensuring a smooth and positive experience.
• Manage adoption events, off-site activities, and follow-up communications.
• Maintain accurate adoption records.
• Provide discharge instructions or medications for surgical patients as needed.
• Recruit, train, and support foster caregivers.
• Address foster caregiver questions and concerns and coordinate with relevant shelter departments.
• Maintain thorough records of foster caregiver communications, feedback, and animal progress.
• Schedule and monitor veterinary care and vaccinations for animals in foster homes.
• Build and maintain relationships with rescue organizations and shelters to develop transport opportunities.
• Care for transportation logistics and ensure animals meet USDA transport guidelines.
• Coordinate required health certifications, medical documentation, and testing for transported animals.
• Promote the transport program and maintain detailed records of transported animals.
• Monitor emails, phone calls, social media, and other communication channels to assist members of the public.
• Maintain accurate digital and paper documentation.
• Prepare and issue reports as directed.
• Collaborate with TLHS leadership and veterinary staff to improve placement processes and increase positive outcomes.
• Assist with reception duties and general shelter operations as needed.

Qualifications

• High school diploma or equivalent required.
• Clerical experience in an office setting is preferred.
• Proficiency with Microsoft Office and Google Workspace.
• Excellent interpersonal skills for communicating with adopters, foster caregivers, rescue partners, co-workers, and members of the public.
• Strong organizational skills and attention to detail.
• Ability to work in a fast-paced environment while managing multiple responsibilities and changing priorities.
• Experience handling animals and performing basic veterinary procedures is preferred.
• Maintain a valid driver's license and personal automobile insurance.
• Must be dependable and able to work both independently and as part of a team.

Working Conditions

• Primarily an office setting with frequent interaction with members of the public, shelter staff, volunteers, and animals.
• Regular exposure to animals that may be fearful, stressed, reactive, or fractious.
• May require work on weekends and holidays.
• Work takes place in a busy animal shelter environment where priorities may change quickly.

Physical Requirements

• Ability to move throughout the shelter facility.
• Ability to lift up to 50 pounds with assistance.
• Ability to remain on your feet for extended periods.
• Ability to bend, kneel, and safely handle animals in a variety of settings, including outdoor areas.
• Ability to tolerate exposure to cleaning chemicals, shelter noise, animal odors, and medical equipment, including needles and blades.
