About the role
The Placement and Certification Coordinator at Marland's Place: Foster Family Services in Ponca City, OK, coordinates and arranges placements for children coming from the Department of Human Services (DHS) to a Marland’s Place supported home. This position requires flexibility, with a preference for Sunday through Thursday 8a-4p, with occasional Saturday and weekday evening availability.
Responsibilities
- Review placement referrals to assess child’s unique needs and ensure referrals accurately reflect presenting issues of the child(ren).
- Maintain an in-depth knowledge of current foster homes, available resources, the child welfare system, and match a child’s unique needs to the best family available.
- Send emails to DHS regarding on hold families and changing family preferences that directly relate to the vacancy list and having families ready to take children.
- Determine appropriate available placement options.
- Contact Family Specialists to discuss the child’s needs and possible placement options.
- Participate in daily/weekly placement phone calls with DHS.
- Keep Director of Family Services informed of any possible or pending placements.
- Respond in a timely manner to all emails and phone calls from the DHS placement unit during business hours.
- Participate in rotating on-call schedule for after-hours emergencies and placements.
- Keep a weekly shared log of all available placement openings.
- Facilitate and oversee ongoing file reviews and assist Director with file compliance, including file reviews prior to approval of new homes and at time of reassessment.
- Facilitate quarterly file reviews, assisting Director with licensing and contract audits.
- Audit files prior to families being approved for foster care.
- Collaborate with Foster Care team in foster parent recruitment.
- Represent Marland’s Place at booths, speaking events, and internal meetings as requested by the Director/CEO.
- Initiate the process with foster parents (e.g., application completion, DPS, and background checks).
- Generate a profile for new applicants in Extended Reach.
- Gather certification documents; scan and upload certification documents into Extended Reach.
- Maintain all inquiry and applicant files.
- Participate with Development team members and subcommittees on events that have foster parent recruitment aspects.
- Provide ongoing public awareness and recruitment campaigns.
- Develop an annual recruitment plan.
- Conduct pre-service training and orientation for prospective foster families.
- Work closely with the local DHS in recruitment efforts and maintain a cooperative working relationship with all child welfare agencies.
- Provide timely follow-up with all foster care inquiries in the division.
- Perform administrative support tasks and other related duties including general office duties, inputting case documentation, compiling social and economic data, scheduling, and assisting in meetings.
- Back up Family Specialists as needed to cover time off.
- Participate in trainings and events.
- Back up office in general duties as needed such as answering phones, watching the front desk, and sorting donations.
- Perform other duties as assigned.
Qualifications
- 21 years of age;
- Bachelor’s degree preferred;
- A valid driver's license;
- The ability to pass pre-employment screenings.

Schedule
Full-time position with Sunday through Thursday 8a-4p availability, with occasional Saturday and weekday evening availability.

- Strong interpersonal and communication skills; able to maintain effective relationships with the Board of Directors, chamber members and staff; effectively collaborate with business leaders of the community, as well as with government representatives, civic leaders and members of the public.
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages. Strong understanding of business accounting and statistical analysis understanding.
- Exceptional strategic thinking and problem-solving skills, including demonstrated ability to anticipate and plan for the future and realign priorities quickly when dealing with unanticipated events. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
