Essential Duties and Responsibilities / % of time
- Front Office Support/45%
- Assist with scheduling/canceling appointments, check-in, and check-out.
- Answer inbound calls promptly and professionally.
- Verify patient demographics and insurance information.
- Collect co-payments/coinsurance and outstanding balances.
- Perform administrative duties and support clinical staff as needed.
- Clinical / Patient Care/45%
- Collect and document accurate demographics, medical history, and other clinical data in EMR.
- Record vital signs and administer injections, splints, and dressings.
- Prepare patients for examination and accompany them to rooms.
- Maintain exam/treatment rooms and inventory of supplies.
- Absorb and administer vaccinations per provider orders.
- Absorb and assist physician and staff during exams, treatments, and testing.
- Demonstrate working knowledge of medical terminology.
- Perform lab duties, including phlebotomy, specimen collection, labeling, and chain of custody.
- Ensure medications are in date and supplies are adequately stocked.
- Safeguard patient rights by maintaining confidentiality of all personal, medical, and financial information.
- Patient Engagement & Retention/10%
- Welcome patients in person and by phone; answer inquiries or refer appropriately.
- Support practice growth and retention by delivering excellent service and engagement
Key Performance Indicators (KPIs)
- Patient Care Accuracy – Maintain 98% accuracy in documenting vitals, history, and EMR data.
- Patient Experience – Achieve patient satisfaction scores of ≥ 90% on practice surveys.
- Efficiency – Complete patient intake and rooming within targeted timeframes (≤ 10 minutes per patient).
- Compliance & Safety – 100% adherence to HIPAA, OSHA, and infection control protocols.
- Practice Support – Answer calls within 3 rings and maintain scheduling accuracy of ≥ 95%.
- Retention & Growth – Support membership retention by ensuring timely follow-up and professional patient interactions.
- Medication & Inventory Management – Maintain 100% compliance with medication expiration monitoring and supply readiness.
Qualifications
- Education / Experience / Knowledge:
- Education: High school diploma or GED required. Graduate of an accredited Medical Assistant program, or equivalent combination of education and experience where two years related experience equals one year of schooling.
- Experience: Minimum 1–2 years of experience in a medical office, ambulatory care setting, or physician practice preferred. Experience with electronic medical records (EMR) systems required; Athena or EPIC experience preferred – location dependent. Minimum 1-2 years of phlebotomy experience. Prior experience in both clinical support (e.g., phlebotomy, injections, vitals) and front office functions (scheduling, insurance verification, collections) strongly preferred.
- Knowledge & Skills: Strong knowledge of medical terminology, clinical procedures, and infection control standards. Familiarity with HIPAA regulations and ability to maintain strict confidentiality of patient records. Basic understanding of insurance verification and billing processes preferred. Proficient in Microsoft Office (Word, Outlook, Excel) and adaptable to new software. Excellent interpersonal, communication, and customer service skills to ensure positive patient experience. Strong organizational and multitasking skills, with the ability to prioritize in a fast-paced environment.
- Computer Proficiency: Proficient in Microsoft Office applications. Able to learn new software easily.
- Certificates and Licenses: Certified/Registered Medical Assistant. Phlebotomy Certification. Current American Heart Association BLS Certification Card.
