Essential Job Functions
- Process purchase orders and requisitions and place orders with vendors.
- Support pharmacy administration with vendor selection and product information.
- Ensure orders comply with existing contracts when applicable.
- Research and identify optimal sources, pricing, and cost-saving opportunities.
- Aid in evaluating alternative products and suppliers as requested.
- Ensure compliance with the Drug Supply Chain Security Act (DSCSA).
- Identify medications requiring ordering and restocking.
- Communicate drug shortages, recalls, and supply issues.
- Perform purchasing and inventory control functions, including repackaging, expiration monitoring, storage, and security.
- Prepare, package, and label medications as needed.
- Maintain knowledge of drug properties to ensure proper handling and storage (e.g., refrigeration, light sensitivity, hazardous materials).
- Process wholesaler invoices and coordinate with accounts payable.
- Manage pharmacy returns and credits.
- Utilize computer systems for purchasing, communications, reporting, and data exchange.
- Serve as a liaison between IT, Revenue Cycle and Pharmacy Services for medication build processes.
- Coordinate inter-pharmacy drug transfers in compliance with 340B and DSCSA requirements.
- Assist with preparation and execution of year-end inventory.
340B Program & Compliance
- Collaborate with 340B Analysts to optimize program performance and ensure compliance.
- Log manual invoices for vendors outside of primary wholesaler.
- Manage manufacturer vs. wholesaler NDC requirements and restrictions.
- Maintain EHR drug dictionary rules, pricing, and modifiers related to 340B and Chargemaster.
- Monitor 340B purchasing accounts and utilization for accuracy and compliance.
- Perform internal and external audits to validate processes and compliance.
Operations, Systems & Reporting
- Serve as liaison between IT, Revenue Cycle and Pharmacy Services for medication build processes.
- Collaborate with leadership to optimize automated dispensing systems (e.g., inventory levels, stockouts, PAR levels).
- Manage pharmacy automation systems and reporting functions.
- Support Pharmacy Charge Description Master (CDM) maintenance.
- Review daily charges and rejections, resolve discrepancies, and monitor trends.
- Function as finance liaison for formulary changes, charge reconciliation, and pricing updates.
- Create reports, dashboards, and data visualizations for monitoring and analysis.
- Prepare and distribute monthly, quarterly, and annual reports.
- Afford assistance with budgeting, expense tracking, and financial reporting.
Administrative & General Duties
- Participate in hospital committees and collaborate with departments and external partners.
- Develop, maintain, and communicate policies related to pharmacy revenue integrity and 340B.
- Afford assistance with clinic inspections to ensure proper medication storage and control.
- Maintain required competencies and perform duties of a Certified Pharmacy Technician as needed.
- Ensure work areas remain clean, organized, and compliant with safety standards.
- Maintain confidentiality.
- Perform additional duties as assigned.
