About the role

The Personnel Security Coordinator is responsible for managing the end-to-end Common Access Card (CAC) credentialing lifecycle for C5MI’s government contractor workforce and maintaining accurate records of Government Furnished Equipment (GFE) assignments. C5MI supports multiple DoD agencies, each with its own sponsorship procedures and credentialing nuances; this role owns the full CAC and GFE process across all of them.

Responsibilities

  • Manages the full CAC credentialing lifecycle for new contractor resources, from task order assignment notification through RAPIDS card issuance, ensuring each onboard is initiated within 2 business days of notification.
  • Initiates and coordinates contractor sponsorship in the Trusted Associate Sponsorship System (TASS) and completes DEERS enrollment for all new CAC applicants.
  • Guides contractor resources through the SF86/eQIP process, including form completion instructions, error identification and correction, and resubmission coordination to minimize processing delays.
  • Collaborates with the FBI for fingerprint scheduling and tracks submission status for all new resources pending Public Trust adjudication.
  • Tracks background investigation status for resources in process across all DoD agency sponsors (including DLA and others); provides bi-weekly status updates to internal program managers and communicates any changes or government correspondence to the resource within 24 hours. Maintains awareness of each sponsoring agency’s specific follow-up procedures and points of contact.
  • Schedules RAPIDS site appointments and coordinates all logistics for CAC card issuance; confirms issuance and updates internal records upon completion.
  • Maintains the GFE assignment tracker for approximately 190 resources with government-issued computers; logs new issuances at onboarding, monitors for equipment return upon offboarding, and performs monthly reconciliation against the active resource roster.
  • Delivers a monthly CAC and GFE status report to the Program Manager by the 3rd business day of each month, tracking all active, pending, and upcoming renewal cases.
  • Responds to resource inquiries regarding CAC status, GFE assignments, and credentialing processes within 4 business hours; escalates adjudication delays or anomalies to the Program Manager promptly.
  • Stays current on DCSA Public Trust policy updates, sponsorship process changes across all DoD agency customers, and TASS/DEERS system requirements; builds and maintains working knowledge of agency-specific credentialing procedures and proactively communicates relevant changes to internal stakeholders.
  • Adheres to all certified processes as part of our commitment to maintaining the highest standards of quality and information security, which includes actively participating in quality assurance activities and ensuring the protection of sensitive information in accordance with our security policies.
  • Performs other related tasks as assigned by direct supervisor.

Requirements

  • 2+ years of experience in government contractor personnel security, identity management, or a closely related administrative role supporting one or more DoD agencies
  • Familiarity with Public Trust / Tier 3 background investigation processes and DoD agency sponsorship procedures; ability to learn and adapt to agency-specific process variations across a multi-customer portfolio
  • Strong organizational and recordkeeping skills; proficiency in Microsoft Excel or equivalent tools for tracker and file maintenance
  • Excellent written and verbal communication skills; ability to explain complex government processes clearly to resources unfamiliar with the credentialing system
  • S. citizenship required (mandatory for TASS Trusted Agent credentialing and Public Trust sponsorship responsibilities)
  • Ability to obtain and maintain TASS Trusted Agent designation prior to or within 30 days of start date

Qualifications

  • High school diploma or equivalent required; associate’s or bachelor’s degree in a related field preferred

Skills

  • Working knowledge of the CAC credentialing process including TASS, DEERS, eQIP/SF86, and RAPIDS
  • Familiarity with Public Trust / Tier 3 background investigation processes and DoD agency sponsorship procedures
  • Experience managing a high-volume, multi-stage pipeline of personnel actions simultaneously (6–12 new resources per month at various stages of processing)
  • Proactive management of CAC renewals across the full portfolio (3-year expiration cycle)
  • Proficiency with Microsoft Excel or equivalent tools for tracker and file maintenance
  • Excellent written and verbal communication skills
  • Ability to obtain and maintain TASS Trusted Agent designation

Pay

In accordance with pay transparency law, the expected salary range for this position is $24.92 - $31.15 hourly. The actual compensation offered will be determined based on factors such as the candidate’s experience, qualifications, skills, and location.
