Personal/Executive Assistant to the CEO

About the role
This position is a Personal/Executive Assistant to the CEO, responsible for managing both personal and professional aspects of the CEO’s life to ensure seamless operations.
Responsibilities
- Personal & Professional Calendar Management
- Manage personal calendars, appointments, birthdays, anniversaries, special events, and family commitments.
- Manage the CEO’s work calendar, scheduling meetings and resolving conflicts.
- Coordinate schedules among family members and personal service providers.
- Ensure important dates and obligations are planned and executed seamlessly.
- Personal Travel Coordination
- Arrange personal and family travel, including vacations, holidays, transportation, accommodations, passports, and travel documentation.
- Prepare comprehensive travel itineraries.
- Monitor travel plans and resolve issues as they arise.
- Household Operations Management
- Oversee day-to-day household operations and logistics.
- Coordinate household vendors, contractors, service providers, and maintenance projects.
- Manage household systems and ensure operational efficiency.
- Personal Financial Administration
- Assist with management of household budgets and recurring expenses.
- Coordinate bill payments, memberships, subscriptions, and reimbursements.
- Organize and maintain financial records and personal documentation.
- Personal Correspondence & Communications
- Draft personal correspondence, invitations, thank-you notes, holiday communications, and family-related communications.
- Coordinate communications with advisors, schools, medical providers, attorneys, accountants, and other personal contacts.
- Event & Lifestyle Management
- Organize family gatherings, celebrations, parties, and special occasions.
- Coordinate memberships, club activities, social engagements, and charitable commitments.
- Manage gift purchasing and gift-giving initiatives throughout the year.
- Family & Personal Administration
- Maintain important family records, licenses, registrations, memberships, and passports.
- Organize personal databases, contact lists, and digital records.
- Coordinate appointments related to healthcare, wellness, education, and professional services.
- Research & Special Projects
- Research products, services, travel options, vendors, schools, and major personal purchases.
- Support personal business ventures, real estate activities, and special family projects.
- Coordinate transitions such as relocations, school enrollments, and household changes.
- Philanthropic & Community Activities
- Support charitable initiatives, volunteer commitments, and philanthropic efforts.
- Coordinate donations, sponsorships, and community engagement activities.
- Proactive Personal Support
- Anticipate family and household needs before they arise.
- Resolve personal matters independently and with minimal direction.
- Handle urgent requests and changing priorities with discretion and efficiency.
Requirements
- Bachelor’s Degree preferred (or high school diploma and 5+ years of experience).
- 2+ years of experience in administrative support, house management, and/or personal assistant roles.
- Personal car and current driver’s license required.
- Exceptional organizational and multitasking abilities.
- Experience managing household operations and complex personal logistics.
- Strong communication and interpersonal skills.
- High level of discretion when handling confidential personal information.
- Ability to work independently and anticipate needs proactively.
- Spanish Language proficiency strongly preferred.
