Personal Assistant to Chief Executive Officer

Key Responsibilities

  • Manage complex calendars, scheduling, and meeting coordination across multiple time zones
  • Prioritize and respond to communications on behalf of the CEO when appropriate
  • Coordinate business appointments, conferences, and executive events
  • Prepare agendas, briefing materials, expense reports, and follow-up items
  • Serve as gatekeeper and liaison with executives, investors, advisors, and external partners

Personal & Lifestyle Management

  • Cover personal appointments, reservations, and household schedules
  • Oversee luxury travel arrangements including flights, hotels, ground transportation, visas, and itineraries
  • Manage gifting, special events, and personal logistics
  • Handle personal shopping, sourcing, and vendor coordination
  • Support relocation, property oversight, and residence management as needed

Administrative Operations

  • Maintain confidential files, records, and sensitive information
  • Own the management and operations of the business office; coordinating with cleaning company, stocking and ordering supplies
  • Process invoices, reimbursements, and basic bookkeeping support
  • Conduct research and prepare summaries or recommendations
  • Create systems and workflows to improve organization and efficiency
  • Auxiliary with special projects and ad hoc requests with urgency and professionalism
