Key Responsibilities
- Calendar Management: Manage the CEO's calendar, including scheduling appointments, meetings, and travel arrangements. Coordinate with internal and external stakeholders to ensure efficient use of the CEO's time.
- Communication Liaison: Serve as the primary point of contact for internal and external inquiries directed to the CEO. Screen and prioritize incoming communications, responding on behalf of the CEO when appropriate.
- Administrative Support: Provide administrative assistance to the CEO, including drafting correspondence, preparing presentations, and organizing documents and files. Handle confidential and sensitive information with discretion.
- Meeting Coordination: Assist in the planning and coordination of meetings, conferences, and events attended by the CEO. Prepare meeting agendas, materials, and follow-up actions as required.
- Travel Arrangements: Arrange domestic and international travel for the CEO, including flights, accommodations, transportation, and visa requirements. Prepare travel itineraries and expense reports in a timely manner.
- Task Management: Manage tasks and action items assigned by the CEO, ensuring deadlines are met and deliverables are completed accurately. Follow up on outstanding items and provide regular progress updates.
- Database Management: Maintain and update contact lists, organizational charts, and other databases relevant to the CEO's responsibilities. Ensure accuracy and completeness of information.
- Special Projects: Assist the CEO in various special projects and initiatives, including research, analysis, and presentation preparation. Take initiative to identify opportunities for process improvements and efficiency enhancements.
