Per Diem Client Service Coordinator
About the role
This is a per diem position with shifts scheduled as needed. New casual employees must complete four full training shifts (8 hours each) before picking up independent shifts. Active casual team members are required to work at least one shift per month to maintain status.
Responsibilities
- Client Interaction: Greet clients and pets with warmth, ensuring a positive experience
- Appointment & Schedule Management: Coordinate appointments, procedures, and clinic operations
- Communication: Answer phones, respond to emails, and manage messages via Tiger Text
- Record Keeping: Accurately maintain client and patient records in PIM software (EzyVet) while ensuring confidentiality
- Check-In & Check-Out: Process client paperwork, verify information, and handle payments
- Billing & Invoicing: Assist with fee calculations, process payments, and generate invoices
- Client Education: Provide general pet care guidance and answer client questions
- Facility Maintenance: Keep the reception area organized, clean, and welcoming
- Team Collaboration: Work closely with veterinary staff to support smooth clinic operations
- Emergency Response: Handle urgent situations calmly, escalating as appropriate
- Problem Solving: Address client concerns professionally and efficiently
Qualifications
- High school diploma or equivalent
- 1+ years of customer service experience (veterinary experience preferred)
- 1+ years of hospitality experience, providing a welcoming environment for clients
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Comfortable with typing 45+ WPM, 10-key calculator use, and data entry
- Experience with PIM software (EzyVet) preferred
- Strong phone etiquette and client communication skills
