About The Role
We are seeking a People Operations Specialist to serve as a key player in our growing organization. This role sits at the center of our People Operations, with a primary focus on managing Leave of Absence (LOA) and workplace accommodations, and serving as our HRIS subject matter expert, alongside benefits administration for a dynamic, high-volume frontline workforce. In addition to being our go-to expert for compliant leave and accommodation administration and clean, reliable HR systems data, you will wear a generalist hat, stepping in to support adhoc HR functions such as onboarding, employee relations, and core compliance. Key Responsibilities
Leave of Absence (LOA) & Accommodations
- End-to-End LOA Administration: Own the full leave lifecycle for FMLA, state and local leave laws, personal and medical leave, and military leave — from intake through return-to-work.
- ADA Accommodations & Interactive Process: Lead the interactive process for accommodation requests, partnering with employees, managers, and medical providers to identify, document, and implement reasonable accommodations.
- Compliance Expert: Serve as the subject matter expert on federal, state, and local leave and accommodation law, proactively monitoring regulatory changes across our operating states and ensuring deep adherence.
- Case Management: Track leave and accommodation cases and documentation (medical certifications, accommodation requests, return-to-work clearances) in our leave management system, ensuring accurate status, expected return dates, and required notices are issued on time.
- Disability & Workers' Comp Coordination: Partner with disability carriers, workers' compensation administrators, and brokers to coordinate concurrent leave, disability, accommodation, and workers' comp claims.
- Stakeholder Communication: Guide employees and managers through leave and accommodation rights, obligations, and required paperwork; train managers on recognizing and properly routing leave and accommodation requests.
- Issue Resolution: Partner with operations managers to resolve leave- and accommodation-related scheduling and staffing questions, and proactively identify and resolve complex cases.
HRIS Administration
- System Ownership: Serve as the day-to-day administrator of our HRIS, maintaining accurate, clean employee data across HRIS, timekeeping, leave, and PEO systems.
- Data Integrity & Reporting: Build and run regular and ad hoc reports (headcount, turnover, leave/accommodation utilization, benefits enrollment) and audit records for accuracy and compliance.
- Workflow & Configuration: Configure and maintain HRIS workflows, approval chains, forms, and user access permissions; support system updates, testing, and rollout of new features or modules.
- User Support & Training: Act as the go-to resource for managers and employees on HRIS functionality; troubleshoot system issues and document resolutions.
- Data Privacy & Security: Ensure HRIS data handling complies with data privacy requirements and internal security protocols, managing user access levels appropriately.
- Vendor & Integration Management: Support integrations between the HRIS and other systems (payroll, benefits, timekeeping, leave management), partnering with vendors to resolve sync issues.
Onboarding & Employee Relations
- Onboarding & Offboarding: Facilitate new hire paperwork, conduct HR orientations, and coordinate offboarding procedures (exit interviews, final paperwork).
- Employee Relations & Support: Provide guidance on HR policies, assist the HR Manager with resolving tier-1 employee relations issues, and support engagement initiatives.
- HR Administration: Process routine HR paperwork (new hires, job changes) and maintain compliant personnel files.
- Talent Acquisition & Performance: Occasionally assist with background checks, onboarding, and supporting managers with performance documentation.
Qualifications
- 2+ years of HR/People Operations experience, with direct exposure to leave and accommodation administration (FMLA/ADA) and/or HRIS systems strongly preferred.
- Bachelor's Degree in Human Resources, Business Administration, or a related field.
- Working knowledge of FMLA, ADA and the interactive accommodation process, and state/local leave and accommodation laws, with comfort researching and applying multi-state requirements.
- Hands-on experience with an HRIS platform (data maintenance, reporting, workflow configuration), and comfort learning new systems quickly.
- Strong attention to detail, analytical skills, and comfort handling highly sensitive employee data.
- A low-ego, service-oriented mindset with the agility to pivot between complex leave/accommodation case management and routine HR administrative tasks.
- Clear, friendly communication skills with the ability to build trust quickly across all levels of the organization.
- SHRM-CP/SHRM-SCP or formal leave/accommodation administration certification a plus.
Compensation
Base Salary Range: $65,000 to $85,000 plus equity.
