Principal Duties & Responsibilities
- Support the HR team with day-to-day operations and administrative tasks
- Aid in HR reporting, data entry, and updating employee information in HR systems
- Assist with employee engagement initiatives and internal communications
- Coordinate employee engagement activities and internal communications
- Provide general administrative support to the P&C team
- Contribute to cross-functional projects and initiatives that support P&C goals
- Manage the CPO’s calendar, prioritizing inquiries and requests, and troubleshooting conflicts
- Keep the CPO informed of upcoming commitments and responsibilities, including travel logistics and key business calendar appointments
- Ensure final materials for each board meeting are organized or downloaded
- Schedule meetings to accomplish required outcomes with the right audience/attendees
- Identify the type of meetings (final decision, initial input, for review only, etc.)
- Schedule and plan with CPO’s direct reports (one-on-ones)
- Proactively manage and coordinate with HMC and their EAs to ensure required documents/presentations are submitted timely
- Manage all travel arrangements and logistics, managing business costs effectively and efficiently
- Rapidly submit expense reports for processing/reimbursement of all expenses
- Oversee CPO financial expenditures including travel, holiday gifts, etc.
Specialized/Technical Knowledge Or Required Skills
- Bachelor’s degree in business administration, Human Resources Management or related field of study preferred
- 6 months-2 years of experience preferred, including internship experience
- Exceptional communication skills with the ability to speak and write in a succinct and positive manner, creating a good image of the company and the executives that are represented
- Superb professionalism - represent the CPO’s office with respect and credibility; ability to interact with board, family members and external stakeholders with “subtle” influence
- Willingness to learn - familiar with the company mission, vision and values and stays abreast of current events and industry trends
- Savvy with technology - competent to leverage technologies to support efficiencies of work. Proficiency with Microsoft Office Suite including PowerPoint, ability to design and edit presentations and materials
- Strong, complex Outlook calendar management skills
- Excellent judgment, able to manage confidential information, courage to prioritize
- Strong organizational skills - ability to think critically, plan, and multi-task in a fast-paced environment
- Able to react with appropriate levels of urgency to situations and events that require quick response or turnaround
- Able to adapt to changing needs of the CPO and other stakeholders’ requests
- Able to bring forward well-thought-out ideas - recognizing powerful impacts of different perspectives and views within the organization
