Responsibilities

  • Prepares all Federal, State and local employment tax deposits and returns as required by various Federal and State laws.
  • Researches various tax inquiries and notices from tax agencies and auditors.
  • Supports Sales and other internal departments with employment tax questions.
  • Supports clients/employees with transition or daily operational inquiries.
  • Provides documentation to assist clients in preparing to utilize Insperity.
  • Opens and closes payroll related tax accounts, as needed.
  • Provides customer service related to payroll taxing requirements and compliance.
  • Aids in the onboarding process for clients, ensuring an effective transition to Insperity.
  • Communicates with various taxing authorities to resolve discrepancies and issues.
  • Prepares check requests for tax-related refunds.
  • Prepares accurate bank and general ledger coding of check or ACH payments, and client and/or employee reimbursements.
  • Prepares and enters payroll tax adjustments to employee records.
  • Prepares and enters assigned tax authority payments.
  • Prepares and files assigned tax authorities’ returns.
  • Prepares year-end reporting as assigned.
  • Maintains all assigned Federal, State, and Local tax regulation deadlines, including the accurate preparation and timely filing of returns and payments of all daily, monthly, quarterly, and annual deadlines.
  • Resolves discrepancies relating to payroll tax payments and returns with governmental agencies.
  • Supports a wide variety of administrative tasks on a rotational basis, including tax notices and mail processing.
  • Supports Finance leadership on various projects as needed.

Qualifications

  • Bachelor’s Degree in Business Administration, Finance or Accounting or four years of equivalent experience is required.
  • Three to five years of experience in multi-state payroll tax filing is preferred.
  • Working knowledge of payroll.
  • Working knowledge of payroll tax compliance applicable to Federal and various State/Local taxing authorities.
  • Working knowledge of payroll and pay taxing regulations (i.e., tax depositing, filing of quarterly and annual returns, maintenance of tax tables and jurisdiction information).
  • Proficient knowledge of Microsoft Word and Excel with willingness to increase knowledge through training.
  • Ability to communicate tactfully and effectively, verbally and in writing, and maintain effective work relations with those encountered in the course of employment.
  • Familiar with modern office methods, practices, procedures and equipment, as well as filing systems and business letter writing and competent in correct English usage, grammar, spelling, punctuation and arithmetic.
  • Ability to assist in operating data entry equipment; maintain and monitor employee records with accuracy and detail with narrow time limitations; maintain records, post data and make arithmetic calculations with accuracy; clerical methods and techniques relating to maintaining large filing systems accurately and efficiently.
  • Ability to resolve problems following established company policy guidelines; methods and techniques relating to maintaining customer service.
  • Proficient analytical and problem-solving skills.
  • Ability to work independently and with a team.
  • Excellent organizational skills, including time management and attention to detail.
  • Ability to plan, organize, and complete assigned tasks in a timely manner while working independently from general instructions.
  • Positive attitude with a sense of urgency directed toward the provision of successful solutions.
