About the Role
The Payroll System Specialist supports the Sr. HRIS/Payroll Manager in maintaining and improving HR and payroll systems. This role blends payroll processing proficiency with HR system management and employee service orientation, aligning with best practices for this hybrid HRIS/payroll role. The Specialist's primary responsibility is to ensure accurate payroll transmissions for the entire company and to support employees with payroll system tools that align with business needs.
Responsibilities
- Performs all activities necessary to process one or more full-cycle multi-state payrolls, including maintaining related records, processing involuntary deductions such as levies and garnishments, preparing accounting transactions and documents, documenting and updating procedures, and preparing special reports for management.
- Ensures payroll records are accurate and complete by conducting monthly audits of all change activity back to the original documentation.
- Collaborates with other departments in a harmonious and professional manner and supports the completion of any projects in a productive and effective way.
- Educates management members related to any payroll or payroll system practices, implemented modules, and laws.
- Updates payroll records by entering changes in exemptions, insurance coverage, savings deductions, and job title and department/division transfers.
- Resolves payroll discrepancies by collecting and analyzing information.
- Provides payroll information, including taxes, by answering questions and requests.
- Maintains up-to-date information in the payroll system.
- Assists with and plays a critical role in integration projects to and from the payroll system/platform.
- Ensures proper onboarding for new employees between ATS/onboarding system and payroll system.
Requirements
- Above-average ability to use a personal computer for word processing, data entry, and automated time systems.
- Attention to detail and accuracy regarding time and organizational management.
- Requires multi-tasking and extensive customer service skills, and the ability to handle stress in a fast-paced working environment.
- Ability to foster and maintain positive working relationships with all levels of management and store personnel.
- Ability to apply basic skills relative to office administration.
- Must possess personal qualities related to respect for the rights and confidentiality of others.
- Strong proactive communication skills, particularly when interacting with supervisors — including regular reporting, addressing issues, proposing solutions or improvements, providing updates, seeking guidance, and consulting as needed.
Qualifications
- BA/BS in Human Resources, Accounting, or related field preferred.
- 3+ years' payroll processing required.
- Accomplished knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook), Microsoft Project.
- Proficiency with payroll, system integration, HRIS, data analytics, and reporting experience using ADP, Peoplesoft, JDE, Oracle, SAP, UltiPro, Kronos UKG, or other systems, including reporting from their related reporting tools (Cognos, Crystal, Access, etc.).
