Payroll SupervisorSalary: $75,000–$100,000 per year, DOE Employment Type: Full-Time In person Classification: Exempt Location: Orange, CA 92868About the PositionWe are seeking an experienced and detail-oriented Payroll Supervisor to oversee payroll operations and ensure employees are paid accurately, timely, and in compliance with company policies and applicable federal, state, and local regulations.The Payroll Supervisor will oversee weekly payroll processing, payroll tax procedures, certified payroll reporting, employee records, garnishments, payroll reconciliations, and payroll compliance. This position will also provide leadership, guidance, and training to the payroll team while working closely with management and accounting.The ideal candidate is highly organized, dependable, proactive, and comfortable working in a fast-paced environment where accuracy and confidentiality are essential.Key ResponsibilitiesReview weekly field payroll reports for accuracy and ensure timely payroll processingMaintain accurate payroll records, including direct deposit and non-direct deposit employee informationReview new hire documentation and ensure payroll records are complete and accurateUpdate employee pay rates for annual merit increases and labor union increasesUpdate quarterly PTO accrualsProcess weekly payroll taxes and ensure timely tax remittanceProcess employee garnishments and other payroll adjustmentsEnsure certified payroll reports are completed and submitted accurately and on timeAudit certified payroll submitted by subcontractors, as assignedInterpret company policies and applicable government regulations affecting payrollEnsure payroll processes are efficient, accurate, timely, and compliantComplete payroll audits under the direction of the ControllerReconcile payroll and related liability accounts in the general ledger each pay periodOversee the payroll hold list and ensure appropriate follow-up and resolutionManage inactive employees in American ContractorOversee OCIP enrollment activitiesProvide payroll information and respond to employee questions and requestsOrganize and facilitate weekly payroll team meetings to review updates, priorities, and responsibilitiesProvide guidance, feedback, training, and support to payroll team membersAssist with the onboarding and development of new payroll team membersMaintain current knowledge of payroll practices, regulations, and industry standards through continuing education and professional developmentAttend and conduct meetings as requiredPerform other duties and responsibilities as assignedQualificationsRequiredMinimum of 1 year of professional experience as a senior member of a corporate payroll team or comparable payroll experienceStrong knowledge of payroll processing, recordkeeping, and compliance requirementsExperience handling payroll adjustments, garnishments, payroll taxes, and employee recordsStrong attention to detail and commitment to accuracyExcellent organizational and time-management skillsAbility to manage multiple priorities and meet deadlines in a fast-paced environmentStrong written and verbal communication skillsAbility to maintain confidential employee and payroll informationProficiency with Microsoft Office applications and accounting/payroll softwarePreferredBachelor’s degree in Accounting, Finance, Business Administration, Human Resources, or a related fieldExperience supervising or leading a payroll teamExperience with construction payroll and certified payroll reportingExperience with union payroll and labor agreementsExperience with American Contractor or similar construction management/payroll softwareBilingual English/Spanish skills are highly desirableCore CompetenciesPayroll & Accounting: Strong understanding of payroll processes, including timekeeping, data entry, quality control, payroll adjustments, garnishments, reimbursements, taxes, and reconciliations.Leadership: Provides direction, coaching, feedback, and support to payroll team members while promoting teamwork and accountability.Results-Oriented: Sets priorities, takes initiative, meets deadlines, and consistently delivers accurate and timely results.Recordkeeping: Maintains accurate, organized, and up-to-date payroll files and documentation in accordance with company policies and applicable laws.Administrative Efficiency: Demonstrates excellent organizational and time-management skills and the ability to manage multiple priorities simultaneously.Communication: Communicates clearly and professionally with employees, management, vendors, and team members.Interpersonal Skills: Builds positive working relationships, treats others with respect, collaborates effectively, and contributes to a positive team environment.Confidentiality & Integrity: Demonstrates sound judgment and maintains strict confidentiality when handling sensitive payroll and employee information.Education & ExperienceA minimum of one (1) year of professional experience as a senior member of a corporate payroll team, including payroll processing, file management, compliance, and administrative responsibilities comparable to those described above.A Bachelor’s degree is preferred but not required.Physical RequirementsThis position requires frequent sitting and extended computer use. The employee may also be required to stand, bend, stoop, twist, and turn or flex the neck. Repetitive use of hands may be required to operate computers, printers, and other office equipment.The ability to lift and carry objects weighing up to 50 pounds may occasionally be required.
