POSITION SUMMARY

This position is responsible for the support, administration/processing of multiple payrolls. Provides guidance and support of day-to-day payroll functions.

QUALIFICATIONS/REQUIREMENTS

  1. Associate Degree in Business Administration, Human Resources, Finance or related field and two (2) years of Payroll experience, OR Three (3) years of experience handling the full spectrum of a multistate payroll for 200+ employees.
  2. Strong working knowledge of Department of Labor and other state and federal guidelines pertaining to payroll.
  3. Possess strong analytical skills and be detail-oriented.
  4. Able to consistently meet deadlines.
  5. Intermediate computer skills (in programs such as MS Word, Excel & Outlook) to include if/then formulas, create complex formulas, perform vlookups, countifs, conditional formatting, pivot tables, etc).
  6. Must have the ability to read, write, and speak English at an Advanced level in a business environment.
  7. Must have advanced communication skills in order to communicate at different levels throughout the organization and with exterior organizations, etc.
  8. Must have the ability to speak, read, and write in Spanish.
  9. Ability to accurately process alpha/numeric information
  10. Able to prepare a variety of reports.
  11. Able to work independently with limited supervision, multi-task and possess strong initiative.
  12. Must possess organizational and time management skills with the ability to prioritize and be detail oriented.
  13. Able to establish and maintain effective working relationships with management, vendors and fellow employees
  14. Able to think logically, establish and follow procedures, instructions and make sound decisions.
  15. Able to exercise independent judgment within established systems and procedures.
  16. Possess high energy level, comfortable performing multifaceted projects in conjunction with normal activities.
  17. Able to define problems, collect data, establish facts, and draw valid conclusions.
  18. Able to work a flexible schedule, extended hours, holidays, and/or weekends as needed.

DUTIES AND RESPONSIBILITIES

  1. Ensures the accurate processing of payroll activities and transmits via computerized software timely and accurately. Serves as back-up for Houston payroll.
  2. Maintains up to date with applicable federal laws and corresponding state law to ensure payroll compliance.
  3. Troubleshoot ADP system issues and escalate when needed by having thorough knowledge and experience working with the payroll system.
  4. Prepares wage statements for Workers’ Compensation claims and administers wage garnishments.
  5. Accurately calculate and maintain time off accruals for paid time off (PTO).
  6. Recommend and implement policies, procedures and processes to continuously streamline and improve payroll processes and ensure compliance with corresponding laws and regulations.
  7. Run and review various monthly and quarterly reports (i.e. headcount, PTO accruals, new hires/terms, etc.) and ad-hoc reports.
  8. Prepares and maintains forms, procedural manuals, and training manuals for various areas in Payroll and HR.
  9. Thoroughly reviews payroll records to ensure compliance with State, Federal and Company guidelines.
  10. Provide support during internal and external audits.
  11. Assists with training coworkers on payroll functions.
  12. Additional duties as assigned.

PHYSICAL/MENTAL REQUIREMENTS

Subject to physical is required along with other tests as applicable. The employee is regularly required to use their hands and fingers. The employee frequently is required to talk and/or hear. The employee is continuously required to sit. The employee is occasionally required to stand and walk; climb or balance; stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to ten (10) pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus. Ability to communicate (read and write) effectively in a business environment. Ability to exercise independent judgment within established systems and procedures. Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to establish and maintain effective working relationships with vendors and fellow employees.

SUPERVISION RECEIVED AND EXERCISED

Receives direct supervision from the Payroll Team Lead and the Senior Human Resources Manager and indirect supervision from the Director of Human Resources. Indirect supervision over the Payroll and Clerical Assistants. May request assistance from the department’s administrative staff.

CONDITIONS

Indoors office. Exposed to controlled temperature and office environment. The noise level in the work environment is usually low to moderate.
