PAYROLL SPECIALIST

Job Description

Prepare and process multiple payrolls weekly in Lawson S3 system utilizing Work Force Mgmt., Web Time and Healthwyse.

Prepare and maintain assigned payroll 941’s and cash flow spreadsheets.

Set up direct deposit information. Follow up as needed with facilities to ensure direct deposit information is complete.

Forward unemployment claims to appropriate facility. Partner with the appropriate facility to ensure timely processing of claims.

Prepare and type quarterly reports, e.g. 940, 941, SUTA, etc.

Process 401k transmissions and deferred compensation.

Set up, prepare and process garnishments for assigned payrolls.

Coordinate with accounting to ensure prompt accurate payments to garnishee.

Prepare and process year-end reports, W-2’s, Annual Tax Reconciliations, and other State and Federal Reports in compliance with Federal and State requirements.

Provide assistance as needed to ensure ALL payroll processes are complete.

Partner with HR on dissemination of HR related materials, e.g. 401k, medical/health enrollment and miscellaneous notices as needed.

Open, sort and distribute mail.

Job Requirements

• 4 year degree in applicable field of study and/or equivalent combination of experience and education including above average math and English skills; demonstrating effective written/spoken language skills.
• Knowledge of applicable state and federal payroll and related tax regulations, legislation and guidelines including but not limited to: writs of garnishments, child support, levies, subpoenas, non-resident alien and U.S. tax treaties.
• Knowledge of basic accounting practices, regulations and procedures.
• Must possess exceptional writing skills to partner with Accounting and Human Resources to prepare, update, consolidate and disseminate in-house policies and procedures manuals, payroll processing instructions, and payroll manuals for facility usage, e.g. HealthWyse, Lawson, WFM, Cerner, PTCT and Meditech.
• Must be a team player, reliable and willing to assume additional responsibilities as assigned.
• Must be proficient in Excel/Word/ MS Office.
