About the Role
Beep is looking for a Payroll & Benefits Specialist to own the accurate, compliant, and timely delivery of payroll and employee benefits programs. This is a mid-level, hands-on role for someone with solid working experience in both payroll processing and benefits administration who wants to be the go-to expert for how our people get paid and supported. You'll partner closely with HR, Finance, and outside vendors to keep payroll and benefits running smoothly as Beep grows.
Responsibilities
Payroll
- Process payroll accurately and on time each cycle for hourly, salaried, and multi-state employees.
- Review and audit timekeeping data, pay changes, bonuses, commissions, and off-cycle payments before submission.
- Ensure compliance with federal, state, and local payroll tax and wage-and-hour regulations (including FLSA).
- Process garnishments, retroactive pay, and year-end adjustments (e.g., W-2 corrections).
- Reconcile payroll registers and resolve discrepancies; partner with Finance on GL entries and payroll-related audits.
- Respond to employee questions about pay, deductions, and timekeeping with clear, timely communication.
Benefits
- Administer health, dental, vision, life, disability, and retirement (401(k)) benefit programs.
- Lead day-to-day open enrollment activities, including employee communications and troubleshooting elections.
- Process new hire enrollments, qualifying life events, and terminations of coverage.
- Serve as the primary point of contact with benefits brokers, carriers, and third-party administrators.
- Support leave of absence administration (FMLA, state leave, short/long-term disability).
- Help ensure compliance with ACA, ERISA, COBRA, and HIPAA requirements, including required filings and notices.
General HR Operations
- Maintain accurate, up-to-date employee records in the HRIS/payroll system.
- Support payroll, benefits, workers' compensation, and 401(k) audits.
- Identify opportunities to improve or automate payroll and benefits processes.
- Maintain strict confidentiality of sensitive employee and compensation data.
Requirements
- 2–4 years of combined experience in payroll processing and benefits administration.
- Working knowledge of payroll/HRIS platforms (e.g., Paylocity, ADP, Gusto, Rippling, Workday, or similar).
- Solid understanding of federal and state payroll tax rules and wage-and-hour law (FLSA); multi-state payroll experience a plus.
- Familiarity with benefits compliance frameworks (ACA, ERISA, COBRA, HIPAA).
- High attention to detail and accuracy when handling confidential and time-sensitive data.
- Strong organizational skills and the ability to consistently meet hard deadlines.
- Clear, patient communication style — comfortable explaining pay and benefits topics to employees at every level.
- Proficiency in Excel or Google Sheets (pivot tables, lookups, basic formulas).
- Bachelor's degree in Human Resources, Business, Accounting, or a related field, or equivalent practical experience.
Nice to Have
- Hands-on experience with Paylocity strongly preferred.
- Experience implementing or configuring an Applicant Tracking System (ATS).
- Experience working directly with a benefits brokerage, including plan renewals and new benefits implementations.
- Certified Payroll Professional (CPP) or Certified Employee Benefits Specialist (CEBS) certification.
- Experience supporting payroll/benefits in a fast-growing or start-up environment.
- Prior experience in transportation, logistics, or another operations-heavy industry.
