About the Role
The Payroll Administrator is responsible for the daily administration of the company’s time & attendance system and payroll processing. This role ensures compliance with applicable federal, state, and local tax laws, handles year-end payroll reporting, and reconciles payroll-related general ledger accounts.
Responsibilities
- Audit, process, and transmit semi-monthly payroll.
- Calculate wages, process payments, and ensure accurate and timely distribution of paychecks and direct deposits.
- Enter and verify accuracy of health benefit deductions, tax withholdings, garnishments, 403(b) contributions, Continuing Education (CE), and anniversary dates.
- Record changes affecting net wages, such as exemptions, insurance coverage, and garnishments, to update master payroll records.
- Monitor and manage the electronic timekeeping system within authorized access rights.
- Maintain payroll information, including time sheets, hours worked, approved salaries, benefits, vacation, and sick time accruals.
- Track and document changes in employee status, such as department transfers, job or pay changes.
- Prepare and apply accounting standards to financial matters and generate payroll reports for management.
- Assist in payroll audits and address employee inquiries regarding payroll, deductions, and leave balances.
- Maintain compliance with federal and state tax laws and employment regulations, including filing necessary tax documents.
- Interact with the payroll provider to ensure software updates and adherence to organizational payroll procedures.
- Attend departmental meetings as required and perform other clerical or accounting duties as assigned.
Requirements
- AA Degree in Accounting or related field; experience may substitute for education.
- 2+ years of experience in payroll processing.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Excellent communication skills; bilingual (Spanish/English) preferred.
- Ability to work independently and as part of a team in a fast-paced environment.
- Strong multitasking and organizational skills.
- Reliable transportation and ability to travel between facilities (10% travel outside the local area).
- Commitment to the goals and philosophy of Northeast Community Clinic.
- Valid state identification.
Skills
- Knowledge of federal and state tax laws and employment regulations.
- Experience with electronic timekeeping systems and payroll software.
- Ability to reconcile payroll-related general ledger accounts.
- Strong attention to detail and accuracy in data entry.
Schedule
Full-time (Non-Exempt). Flexible hours, may require some evenings and weekends.
Physical Requirements and Working Conditions
- OSHA Category 3: No regular exposure to blood, body fluids, or tissues.
- Primarily sedentary work with frequent use of a computer and standard office equipment.
- Regular communication, repetitive motions, and occasional lifting (up to 20 pounds regularly, 40 pounds occasionally).
- Mobility to work in office and clinic settings, with stamina to maintain attention to detail despite interruptions.
