About the Role
Our client is seeking an experienced Payroll & Accounts Payable Specialist to manage full-cycle payroll while supporting day-to-day accounts payable and general accounting functions. This position is ideal for a detail-oriented professional who can work independently, maintain confidentiality, and effectively manage multiple deadlines in a collaborative office environment.
Responsibilities
- Process bi-weekly payroll for approximately 250–400 employees, ensuring accuracy and timely completion.
- Maintain employee payroll records, including new hires, terminations, compensation changes, deductions, and other updates.
- Review payroll registers, research discrepancies, and resolve payroll issues promptly.
- Support payroll tax reporting, reconciliations, year-end activities, and audit requests.
- Manage garnishments, benefits deductions, taxes, and other payroll-related withholdings.
- Partner with HR regarding employee status changes, benefits, leaves, and payroll adjustments.
- Process vendor invoices and prepare documentation for timely payment.
- Reconcile vendor statements, investigate discrepancies, and communicate with vendors as needed.
- Assist with weekly check runs, ACH payments, and other accounts payable activities.
- Support month-end close through journal entries, account reconciliations, and maintaining accurate financial records.
- Prepare and analyze reports using Microsoft Excel, including PivotTables and VLOOKUPs.
- Maintain organized records and handle confidential employee and financial information with discretion.
Requirements
- 5+ years of hands-on payroll processing experience.
- Additional experience in accounts payable, accounts receivable, or general accounting.
- Experience processing payroll for both exempt and non-exempt employees.
- Working knowledge of payroll regulations, tax reporting, and compliance requirements.
- Experience with ADP Workforce Now or a comparable payroll system.
- Strong Microsoft Excel skills, including PivotTables and VLOOKUPs.
- Excellent organizational, analytical, and problem-solving abilities.
- Ability to independently manage payroll deadlines and troubleshoot issues.
- Strong attention to detail and accuracy.
- Professional communication style and ability to work effectively within a team.
- Experience in a manufacturing or similar operational environment is a plus.
