The Payment Application Specialist role is based in the United States and is managed by a partner company. Key responsibilities include:

  1. Accurately apply payments and reconcile financial transactions.
  2. Research and resolve payment transactions that do not post correctly.
  3. Identify and allocate unidentified payments to the correct accounts or general ledger categories.
  4. Reconcile payment postings with bank deposits using financial tools and reporting systems.
  5. Maintain accurate and timely payment application processes.
  6. Document account activity clearly and maintain detailed financial records.
  7. Create, enter, and assign cash management batches.
  8. Review payment work queues and resolve errors, discrepancies, credits, and undistributed balances.
  9. Process refund requests from payors, departments, and other stakeholders.
  10. Investigate insurance overpayments and complete appropriate resolution activities.
  11. Support special billing processes and ensure timely application of required payments.
  12. Collaborate with accounting teams to maintain accurate reconciliation records and reporting.
  13. Communicate with insurance companies, employers, financial institutions, and internal teams to resolve payment issues.
  14. Maintain knowledge of payment policies, payor requirements, and applicable collection regulations.

The ideal candidate should have:

  • Experience in healthcare billing, payment processing, or financial operations.
  • Strong accuracy, organization, and problem-solving skills.
  • Comfortable working with payment systems, reconciling financial information, and communicating with multiple stakeholders.
  • High school diploma or equivalent.
  • One year of medical billing, medical office, bookkeeping, or cash balancing experience preferred.
  • Experience with healthcare payment processing or revenue cycle operations preferred.
  • Knowledge of patient accounting principles and procedures.
  • Familiarity with third-party payors, payment requirements, and insurance processes preferred.
  • Understanding of ICD-10 and CPT coding processes preferred.
  • Strong computer skills and ability to learn financial and healthcare software systems.
  • Experience using online banking systems or payment platforms preferred.
  • Excellent written and verbal communication skills.
  • Strong customer service skills and professional telephone etiquette.
  • Ability to analyze information, resolve discrepancies, and manage multiple priorities.
  • Strong attention to detail, accuracy, and organizational skills.
  • Ability to work independently while collaborating effectively with internal teams.
