About the role
The Patient Services Representative II at HB Dermatology Clinic coordinates patient schedules, provides clerical support, and ensures the smooth operation of the clinic. This role requires strong communication skills, familiarity with hospital policies, and experience in a clinical setting.
Responsibilities
- Schedules patient appointments, either by phone or in person.
- Provides information about clinic operations and obtains patient demographics.
- Calls patients to confirm appointments and communicate with nursing and provider teams.
- Verifies insurance eligibility, secures referrals, and follows up on referral statuses.
- Completes insurance denials and assists with filing appeals.
- Reports out abandon call rates in Tiered Huddles.
- Greets patients, accepts payments, and writes receipts.
- Distributes encounter forms and inspects for completeness and accuracy.
- Ensures signatures are on encounter forms and charts, copies insurance cards, and uploads into the EMR.
- Balances and reconciles personal cash drawer daily.
- Prompts ancillary forms for other services and promotes the organization's Patient Portal.
- Pulls and files patient charts, copies medical records, and makes up new patient charts/packets.
- Validates handouts and requests medical records from other facilities.
- Communicates with patients about financial accounts, obtains insurance prior authorizations, and secures referrals.
- Collects and verifies proof of income to determine sliding scale discounts, monitors WQs in EMR, and coordinates referral processes.
- Transcribes outside referrals into the organization's EMR and coordinates patient access to clinical care.
- Dispenses supplies as needed, participates in quality improvement activities, and notifies staff when supplies are low.
- Types notes and letters for physicians and sorts/distributes mail.
- Communicates professionally with patients of all ages and enhances professional growth through in-service meetings and education programs.
- Maintains patient confidentiality.
Qualifications
- High School Diploma or GED required.
- At least 3 years of experience in customer service, including at least 6 months in a clinical environment.
- No specific licenses or certifications required.
- Advanced verbal and written communication skills, advanced customer service skills, and effective teamwork abilities.
- Proficiency with Microsoft Office tools and knowledge of hospital policies and procedures.
