About the Role

This position involves greeting and assisting patients, managing front and back office tasks, maintaining accurate records, and ensuring smooth operations in a physician office setting.

Responsibilities

  • Check patients in and out of the medical office.
  • Assist with patient scheduling, appointments, and referrals for testing or specialists, ensuring medical orders are met.
  • Greet patients in a friendly and courteous manner while maintaining a professional demeanor.
  • Document and relay patient phone messages accurately.
  • Obtain and update registration documents, demographic information, and insurance details.
  • Maintain and update patients' electronic medical records to meet compliance requirements.
  • Secure, scan, and manage patient medical records.
  • Collect co-payments, post outstanding balances, and prepare bank deposits.
  • Balance and batch electronic credit card transactions and verify deposit totals with a supervisor.
  • Prepare financial documents and maintain a reconciled cash drawer.
  • Process interoffice mail and faxed documentation, distributing and organizing as needed.
  • Enter drug samples and maintain educational supplies when required.
  • Assist other departments as needed and attend staff meetings.
  • Use computers for scheduling, registration, and record-keeping, including daily use of phones, fax machines, copiers, and scanners.
  • Maintain office supplies and communicate needs to appropriate personnel.
  • Ensure compliance with all applicable hospital and department policies, procedures, and protocols.
  • Notify management of workload changes to maximize productivity.
  • Resolve and follow up on challenging occurrences or situations.
  • Maintain a positive attitude toward patients, physicians, co-workers, management, and other hospital staff.
  • Contribute to team building and maintain a team-oriented environment.
  • Perform other duties as assigned.

Requirements

  • Minimum: High School Diploma or Equivalent.
  • Preferred: Specialized training in office administrative skills such as computers, software, and data entry.
  • Minimum: Previous customer service experience.
  • Preferred: 1 or more years of office administrative experience and customer service.
