About the Role

Front-office medical administrative role that supports both patient check-in/check-out and back-office record-keeping in a physician office.

Responsibilities

  • Greet and check patients in and out of the office in a friendly, courteous manner.
  • Schedule appointments, referrals, and testing; ensure medical orders are fulfilled.
  • Document and relay accurate phone messages and patient information.
  • Register and update patient demographic and insurance details in the electronic medical record (EMR).
  • Maintain, secure, and scan patient records to meet compliance requirements.
  • Collect co-payments, post balances, process payments, and prepare bank deposits.
  • Balance and batch electronic credit-card transactions; reconcile cash drawer.
  • Process interoffice mail, faxes, and drug-sample logs; maintain educational supplies.
  • Assist other departments, attend staff meetings, and use office equipment (computer, phone, fax, copier, scanner).
  • Monitor and communicate office-supply needs.
  • Follow all hospital and department policies, procedures, and protocols.
  • Notify management of workload changes to optimize productivity; resolve and follow up on challenging situations.
  • Maintain a positive, team-oriented attitude with patients, physicians, co-workers, and management.
  • Perform other duties as assigned.

Requirements

  • High school diploma or equivalent (required).
  • Specialized training in office administration, computers, software, or data entry (preferred).
  • Previous customer-service experience (required).
  • One or more years of office administrative and customer-service experience (preferred).
