About the Role

This non-exempt position in the Administration department reports to the Practice Administrator. The Patient Service Representative I embodies character qualities such as attentiveness, enthusiasm, joyfulness, patience, and punctuality while performing front-office duties in a healthcare setting.

Responsibilities

  • Answers telephones, schedules appointments, and obtains patient information.
  • Prepares charts for examination and collects/secures payments at patient check-out.
  • Provides back-up and overflow coverage for Front Office Telephone Operator(s).
  • Receives patients at the reception window and obtains required information/documentation at check-in.
  • Updates patient information (address, phone, insurance coverage, DOB) in electronic medical records for each visit.
  • Schedules appointments and posts charges/payments in electronic medical records.
  • Verifies late or open balances and reminds patients of outstanding balances; assists patients with billing questions.
  • Accepts payments, secures daily collections, and balances daily transactions.
  • Maintains the waiting area in good order and coordinates with custodial staff as needed.
  • Follows HIPAA guidelines and Variety Care’s privacy policies.
  • Ensures office equipment is functional and reports issues to appropriate staff.
  • Accepts direction from the Practice Administrator or on-staff Physician.
  • Supports Variety Care’s accreditation as a Patient-Centered Medical Home and commitment to safe, effective, patient-centered, timely, efficient, and equitable care.
  • Works toward the “Triple Aim” of healthcare reform: improving care experience, health outcomes, and reducing costs.
  • Performs other duties as assigned.

Requirements

  • High School Diploma or GED.
  • Legible handwriting and basic math skills.
  • Ability to work with the public and communicate effectively with patients and staff.
  • Basic data entry and keyboarding skills.
  • Trustworthy handling of confidential information.
  • Able to work in an active and stressful environment, including occasional interactions with difficult patients.

Preferred Qualifications

  • One or more years of clerical experience.
  • One or more years of customer service experience.
  • Bilingual (English/Spanish).

ADA Requirements

  • Able to lift a minimum of 25 pounds.
  • Able to sit for long periods of time.
