About the role

Reports to the Practice Manager or Team Leader, the Patient Service Representative II is primarily responsible for collection of accurate demographic and insurance information from patients to facilitate a successful patient revenue cycle. Based on the operations of the practice, this position may handle payments, customer service, phone support, data entry into the EMR, test scheduling, referral processing, and other assigned duties. Ensures compliance with all OSHA and HIPAA regulations and completion of all duties vital to business operations.

Responsibilities

  • Schedules appointments for patients by phone or in person, matching physician/clinician availability with patient preferences.
  • Communicates with physicians, clinicians, and staff regarding patient scheduling concerns or issues.
  • Verifies and updates patient demographic and insurance information in practice management and electronic medical record systems.
  • Collects co-pays, self-pays, and outstanding balances.
  • Ensures all patient encounter information is complete, accurate, and ready for charge entry.
  • Completes daily close-out procedures according to company policy.
  • Handles referral processing, outpatient test scheduling, and pre-certification.
  • Files and distributes patient information and incoming mail.
  • Works with the central billing office on requests in a timely manner.
  • Completes paper and electronic medical records reports.
  • Communicates and orders supplies as needed.
  • Types correspondence and reports.
  • Uses customer service principles to interact with patients calmly and pleasantly.
  • Prepares new patient records.
  • Answers telephones within three rings, providing helpful and friendly service.
  • Completes other assigned duties thoroughly and accurately on a timely basis.

Requirements

  • High school diploma or GED.
  • 1 year of customer service experience.
  • Ability to manage and prioritize multiple tasks.
  • Proficiency in Microsoft Excel, Word, Outlook, and PowerPoint; ability to learn other computer skills.
  • Strong organizational skills and professional demeanor when working with doctors, hospital administration, management, staff, and the public.
  • Knowledge of current practice management and electronic medical record systems (training provided).
  • Extensive knowledge of insurance plans accepted by SEP.
  • Extensive knowledge of the referral process for insurance plans accepted by SEP.
  • Demonstrated ability to work successfully in a team-based decision-making culture.
  • Demonstrated ability to work independently, producing effective outcomes and on-time performance.
