Front-office role in a physician practice: greet patients, handle check-in/out, manage records, schedule referrals, and support both front-desk and referral-coordination duties.
Responsibilities
- Check patients in and out of the medical office.
- Assist with patient scheduling, make appointments, and arrange referrals for testing or specialists, ensuring medical orders are met.
- Greet patients in a friendly and courteous manner; present as trustworthy and cooperative.
- Document patient phone messages accurately.
- Obtain necessary registration documents; register and update demographic and insurance information.
- Update and maintain patients’ electronic medical records to meet compliance requirements.
- Secure, scan, and manage patient medical records.
- Collect co-payments, post outstanding balances, receive payments, and prepare bank deposits.
- Balance and batch electronic credit card transactions; verify deposit totals with supervisor.
- Prepare financial documents and maintain/reconcile cash drawer.
- Process interoffice mail and faxed documentation; distribute and organize appropriately.
- Enter drug samples and maintain educational supplies as requested.
- Assist other departments when needed; attend staff meetings.
- Use computer for scheduling, registration, and record-keeping; operate phone, fax, copier, and scanner daily.
- Maintain office supplies and communicate needs.
- Ensure compliance with all applicable hospital and department policies, procedures, and protocols.
- Notify management of workload changes to maximize productivity; resolve and follow up on challenging situations.
- Maintain a positive attitude toward patients, physicians, co-workers, management, and other hospital staff.
- Contribute to team building and maintain a team-oriented environment.
- Perform other duties as assigned.
Requirements
- Minimum: High School Diploma or Equivalent.
- Preferred: Specialized training in office administrative skills such as computers, software, and data entry.
- Minimum: Previous customer service experience.
- Preferred: 1 or more years of office administrative experience and customer service.
