About the Role

This position involves greeting and assisting patients, managing front and back office tasks, maintaining accurate records, and supporting clinical procedures within a physician office.

Responsibilities

  • Check patients in and out of the medical office, ensuring all requirements are completed.
  • Assist with patient scheduling, including making appointments and referrals for testing or specialists while ensuring medical orders are met.
  • Greet patients in a friendly and courteous manner, presenting as trustworthy and cooperative.
  • Document patient phone messages accurately and obtain necessary registration documents.
  • Register and update demographic and insurance information in the patient’s electronic medical record.
  • Maintain and update patient records to meet compliance requirements.
  • Secure patient medical records and scan them into charts.
  • Collect co-payments, post outstanding balances, receive payments, and prepare bank deposits.
  • Balance and batch electronic credit card transactions and verify deposit totals with a supervisor.
  • Process interoffice mail and faxed documentation, distributing and organizing appropriately.
  • Enter drug samples and maintain educational supplies as needed.
  • Assist other departments and attend staff meetings.
  • Use computers for scheduling, registration, and record-keeping, and operate office equipment such as phones, fax machines, copiers, and scanners.
  • Maintain office supplies and communicate needs to ensure smooth operations.
  • Adhere to all applicable hospital and department policies, procedures, and protocols.
  • Notify management of changes in workload to maximize productivity and resolve challenging situations.
  • Maintain a positive attitude toward patients, physicians, co-workers, management, and other hospital staff.
  • Contribute to team building and maintain a team-oriented environment.
  • Prepare patients for physician/provider examinations or other testing/procedures within the appropriate scope of practice.
  • Obtain and record detailed past medical history, current medical information, and gaps in preventive care.
  • Measure and record at least three vital signs per patient visit.
  • Perform EKGs and other medical office testing/procedures, including phlebotomy and venipuncture.
  • Cleanse wounds/lesion sites according to CLIA (Clinical Laboratory Improvement Act 1988) requirements.
  • Provide accurate and timely education to patients.
  • Arrange for diagnostic testing, specialist appointments, and hospital admissions.
  • Maintain waiting rooms, examination rooms, lab rooms, and offices, including ordering supplies.
  • Work in the front office as needed for patient check-in, answering phones, chart organization, and scheduling appointments.
  • Receive payments from patients for services rendered.
  • Support management decisions and participate in performance improvement activities.
  • Train other Clinical Assistants as required.
  • Perform other duties as assigned.

Requirements

  • High School Diploma or Equivalent (minimum).
  • Specialized training in office administrative skills such as computers, software, and data entry (preferred).
  • Previous customer service experience (minimum).
  • 1 or more years of office administrative experience and customer service (preferred).
